Intake Specialist – MLT

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Respond to incoming calls via the LinkedPhone app.

• Typically manage fewer than 10 calls each day.

• Record caller names, phone numbers, emails, project locations, and project specifics.

• Communicate with prospects via text, answer basic inquiries, and receive job-site photos through LinkedPhone SMS.

• Oversee voicemails and call recordings, promptly following up on missed calls.

• Handle Facebook and Instagram messages through Meta Business Suite.

• Track website form submissions in House Call Pro and convert them into estimate files.

• Input social media lead information into House Call Pro.

• Respond to new messages and leads within the first 15 minutes during business hours.

• Adhere to escalation workflows to ensure no lead remains unanswered.

• Review and update after-hours AI intake logs every Monday or the next business day.

• Qualify leads following SOPs that address travel distance, service area, and travel fees.

• Politely decline service requests that the company does not offer.

• Accurately log all lead information in House Call Pro.

• Inform the team via Slack when leads are entered and confirm notifications from House Call Pro.

• Advance towards preparing rough project estimates and providing budget ranges.

• Arrange in-person estimate appointments for the field team.

• Clean, organize, and audit CRM records and system data.

• Update SOP documentation and complete administrative micro-tasks.

• Exceptional phone communication skills with a clear, polite, engaging, and confident demeanor.

• Previous experience in handling inbound calls and lead intake.

• Strong attention to detail and accuracy in data entry.

• Timely written communication abilities.

• Capability to manage calls, texts, social media messages, and CRM alerts simultaneously.

• Ability to follow written and video SOPs and work effectively with minimal supervision.

• Experience with CRMs, preferably House Call Pro or a similar system.

• Background in the construction or concrete industry is advantageous but not mandatory.

• Business-casual attire required for meetings.

• Professional setup including a clean background, quality camera, good microphone, and reliable Wi-Fi.
