Intake Coordinator

This is a fully remote position, open to applicants in United States.

📋 Description

• Manage daily intake operations, ensuring the precise and prompt processing of all incoming prescriptions.

• Receive and assess prescriptions for completeness, coverage criteria, and necessary documentation.

• Engage in patient outreach to verify insurance benefits, clarify coverage details, and gather patient financial responsibilities (copays, deductibles, coinsurance) in compliance with guidelines.

• Direct prescriptions to the suitable dispensing partner based on payer coverage, benefit design, and internal allocation policies.

• Actively follow up with provider offices to obtain missing documentation or required clinical information.

• Liaise with patients, provider offices, and dispensing partners to address intake issues and expedite shipping times.

• Create and execute intake Standard Operating Procedures (SOPs), workflows, quality controls, and escalation processes.

• Ensure adherence to HIPAA regulations, payer requirements, and internal data security protocols.

• Track intake Key Performance Indicators (KPIs).

• Train, mentor, and assist intake team members as the function grows.

• Collaborate across departments with Revenue Cycle, Market Access, Sales, Customer Support, and Operations to enhance intake efficiency and patient experience.


⛳️ Requirements

• Over 5 years of experience in DME, medical device intake, medical billing intake, or healthcare operations as a team lead, showcasing progressive responsibility in previous roles.

• Solid understanding of insurance verification and medical benefit processes.

• Prior experience with Parachute Health Platform or other ePrescribing systems is advantageous.

• Proven experience in providing patient benefit education and collecting patient financial responsibilities.

• Experience in direct communication with provider offices and patients.

• Ability to interpret prescriptions, clinical documentation, and payer requirements effectively.

• Excellent organizational skills and meticulous attention to detail.

• Experience in developing or enhancing operational workflows and SOPs.

• Leadership or supervisory experience is preferred.

• Comfortable operating in a dynamic, fast-paced, high-growth setting.

• Willingness to travel up to 15%.
