This is a fully remote position, open to applicants in Canada.
• Reporting to the Human Resources Services Manager, the Human Resources Coordinator is tasked with coordinating essential human resources programs and delivering comprehensive support throughout the employee lifecycle.
• Acts as a subject matter expert in onboarding, HRIS administration, employee records, benefits administration, and HR processes, serving as a trusted resource for both employees and leaders.
• Plays a vital role in ensuring operational excellence by driving efficient HR processes, maintaining data integrity, identifying continuous improvement opportunities, and coordinating HR initiatives that benefit Advanced Medical Solutions' workforce across various operational locations.
• Lead and manage all post-offer recruitment activities from the acceptance of offers through to deployment.
• Own and continually enhance the AMS onboarding program to ensure every new employee enjoys a welcoming, engaging, and compliant onboarding experience.
• Coordinate all pre-employment requirements, including background checks, medical clearances, credential verification, licensing, and necessary documentation.
• Collaborate closely with Payroll, Education, Travel, Operations, and Hiring Managers to ensure smooth onboarding and deployment.
• Monitor onboarding timelines, proactively spotting and resolving any delays.
• Develop onboarding resources and suggest improvements to refine the employee experience.
• Serve as the main administrator for UKG, ensuring that employee data is accurate, complete, and maintained throughout each employee's lifecycle.
• Configure, maintain, and optimize HRIS workflows, forms, business processes, and reporting structures.
• Perform regular HRIS audits to ensure data integrity and compliance.
• Analyze HR processes and recommend system enhancements that boost efficiency and user experience.
• Develop standard operating procedures for HRIS processes.
• Generate HR reports and workforce metrics to aid in business decision-making.
• Coordinate HRIS testing for system upgrades and new functionalities.
• Maintain precise electronic employee files in line with legislative and organizational requirements.
• Monitor employee licensure, certifications, mandatory training, and compliance requirements.
• Proactively inform employees and leaders of upcoming expirations.
• Ensure HR policies are current, accessible, acknowledged, and compliant.
• Assist with internal and external audits by keeping accurate HR documentation.
• Help maintain compliance with employment legislation and organizational policies.
• Oversee group benefits administration, including enrollments, changes, terminations, and employee inquiries.
• Liaise with benefit providers to resolve complex issues.
• Manage the WSCC disability management process, including employer reporting, return-to-work planning, and ongoing case administration.
• Maintain confidential medical and accommodation documentation.
• Support accommodation processes in collaboration with leaders and employees.
• Coordinate employee status changes, including promotions, transfers, compensation changes, leaves of absence, and terminations.
• Accurately process Employee Change Forms (ECFs) within established service standards.
• Serve as a primary contact for HR-related inquiries, offering guidance and directing employees to the appropriate resources.
• Support employee engagement initiatives and HR programs.
• Assist with performance management cycles and annual HR initiatives.
• Identify opportunities for enhancing HR processes, workflows, and service delivery.
• Coordinate HR projects and organizational initiatives.
• Help develop HR resources, templates, guides, and training materials.
• Deliver onboarding presentations and support HR information sessions.
• Prepare reports, dashboards, and analytics to support departmental planning.
• Assist with change management initiatives across the organization.
• Perform other related duties as assigned.
• Diploma or bachelor's degree in Human Resources, Business Administration, or a related field.
• CPHR designation or actively pursuing it is considered an asset.
• Minimum of 3 years of progressive experience in Human Resources, ideally in a fast-paced or multi-site environment.
• Experience administering HRIS systems (UKG experience is a plus).
• Experience in coordinating onboarding, managing employee records, benefits administration, and HR processes.
• Strong understanding of employment legislation and HR best practices.
• Exceptional attention to detail paired with excellent organizational skills.
• Intermediate to advanced proficiency in Microsoft 365, particularly with Excel, Outlook, Word, and Teams.
• Strong analytical and problem-solving capabilities.
• Excellent written and verbal communication skills.
• Comfortable facilitating presentations and training sessions.
• Ability to maintain strict confidentiality and exercise sound judgment.
• Proven customer service orientation and relationship-building skills.
• Capability to manage multiple priorities while adhering to deadlines.
