This is a fully remote position, open to applicants in South Africa.
• Oversee the complete onboarding processes for employees across various global locations.
• Draft offer letters and employment documents in compliance with local legal standards.
• Compile, distribute, and track offer packages along with necessary employment documentation.
• Confirm the receipt of signed offers, agreements, and restrictive covenants.
• Precisely input and maintain confidential employee data within HR systems.
• Coordinate onboarding efforts with People Operations, Talent Acquisition, Staffing Managers, Payroll, Finance, and other key stakeholders.
• Facilitate employee setup processes, including payroll, benefits, training, and related onboarding necessities.
• Keep employee records updated and ensure changes are accurately reflected in HR platforms.
• Design, manage, and enhance onboarding experiences within employee engagement platforms.
• Organize and distribute welcome gifts for new employees.
• Provide HR administrative support throughout the employee lifecycle, covering onboarding, employee development, policy enforcement, and offboarding processes.
• Communicate changes in bill rates and pay rates to relevant stakeholders and update systems accordingly.
• Process program extensions and ensure employment contracts are up-to-date and compliant.
• Oversee the preparation, completion, distribution, collection, and filing of contractual documents and client exhibits.
• Maintain HR databases, ensuring a high standard of data accuracy and integrity.
• Investigate and keep abreast of employment and recruitment laws across pertinent jurisdictions.
• Assist in compliance with applicable privacy and employment regulations, including POPIA and GDPR.
• Support operational requirements impacting employees and associates globally.
• Generate standard reports and assist with training administration activities.
• Maintain employee files and employment documentation.
• Address employee inquiries in a professional, timely, and supportive manner.
• Organize and keep agendas for recurring staffing and operational meetings.
• Conduct employment verification requests through calls, letters, and written confirmations.
• Prepare and issue employment-related administrative and travel letters as necessary.
• Identify opportunities to enhance employee experience and HR operational processes.
• Manage sensitive employee information with the utmost confidentiality.
• Experience in supporting employee lifecycle administration, onboarding, and HR operations.
• Experience in coordinating onboarding activities among various stakeholders and functions.
• Knowledge of employment documentation, contract administration, and employee record management.
• Familiarity with HRIS platforms and employee onboarding systems.
• Understanding of employment laws, compliance requirements, and data privacy regulations, including POPIA and GDPR.
• Strong verbal communication skills with the capability to engage effectively across all organizational levels.
• Strong written communication skills with the ability to simplify complex information and offer clear guidance.
• Excellent organizational and time management abilities, allowing for the management of multiple priorities concurrently.
• Proven problem-solving skills and the capacity to address issues independently and logically.
