This is a fully remote position, open to applicants in Philippines.
• Oversee the complete recruitment process for clinical, operational, and support positions.
• Hire psychologists, psychiatrists, counselors, and allied health professionals throughout Sydney and Australia.
• Recruit offshore support personnel in the Philippines for roles in customer support, finance, marketing, digital, IT, website, social media, and operational support.
• Identify, screen, interview, and onboard high-caliber candidates.
• Develop and sustain recruitment pipelines and talent networks.
• Enhance recruitment processes, candidate experiences, and onboarding systems.
• Take charge of workforce planning, recruitment strategies, and staffing coordination across the organization with limited daily oversight from leadership.
• Independently oversee and drive all recruitment and HR functions to facilitate business growth, operational efficiency, and clinic expansion.
• Create and manage scalable recruitment systems, hiring pipelines, onboarding processes, and people operations frameworks.
• Collaborate directly with the CEO and Executive Assistant to proactively determine workforce needs, operational deficiencies, hiring priorities, and organizational structure requirements.
• Lead the growth of offshore teams and recruitment for operational support across customer support, finance, marketing, digital, IT, website, social media, and administrative roles.
• Assume full responsibility for recruitment operations from sourcing to onboarding, ensuring leadership is primarily involved in final oversight and strategic direction.
• Administer contracts, onboarding documentation, compliance records, and HR administration.
• Keep precise employee records and HR systems.
• Assist with performance review processes and employee engagement initiatives.
• Serve as the main contact for all HR, recruitment, staffing, and people-related issues within the organization.
• Handle employee relations matters, including performance issues, accountability discussions, workplace challenges, and difficult staff conversations in a professional and solution-oriented manner.
• Support managers and leadership in conflict resolution, performance management, behavioral issues, and staff development discussions.
• Uphold professional standards, team accountability, and workplace expectations across both Australian and offshore teams.
• Alleviate the operational and people-management load on leadership by independently managing daily HR and workforce matters.
• Report significant people, compliance, or operational risks to leadership with clear recommendations and proposed solutions.
• Actively manage practitioner registration and compliance obligations, including annual AHPRA registration renewals and ongoing credential monitoring.
• Maintain precise tracking systems for psychologist and clinician registration deadlines, mandatory documentation, and compliance responsibilities.
• Ensure all practitioners remain compliant with annual registration requirements by proactively coordinating reminders, documentation collection, and follow-up well ahead of due dates.
• Track key compliance dates, including annual AHPRA renewals on 30 November and practitioner-specific employment anniversary requirements.
• Promptly escalate compliance risks or unresolved practitioner registration issues to leadership with clear action plans and recommendations.
• Develop and uphold HR and recruitment-related intranet content.
• Organize onboarding resources, policies, workflows, and internal HR documentation.
• Research and implement best practices in HR and recruitment.
• Identify operational deficiencies and suggest process enhancements.
• Assist in enhancing staff experience, communication, onboarding, and retention systems.
• Contribute to the continuous improvement of HR systems, workflows, and reporting processes.
• At least 3+ years of experience in HR, recruitment, or people operations.
• Proficient in using ATS platforms, HRIS systems, or SaaS-based tools.
• Significant experience working remotely and autonomously.
• Highly motivated self-starter with strong initiative and accountability.
• Excellent verbal and written English communication abilities.
• Quick learner with the capacity to swiftly grasp systems, workflows, and operational priorities.
• Exceptional organizational and multitasking capabilities.
• Ability to communicate confidently with senior leadership and operational staff.
