This is a fully remote position, open to applicants in Spain.
• In the role of HR Operations Administrator, you will play a vital role in the HR operations BPO services for our SAP Solutions MPS (Managed Payroll Services) team.
• This position entails ensuring the delivery of high-quality operational support in areas such as time management, benefits management, pensions, insurances, and garnishments.
• You will coordinate the delivery of HR services to our clients, guaranteeing the efficient execution of tasks within the team.
• This role requires close collaboration with both internal and external stakeholders to achieve ongoing operational excellence.
• You will assist in upholding local HR business process standards.
• Your responsibilities will include driving continuous improvement by working closely with clients and country teams to evaluate and oversee localization activities, process deviations, and suggesting optimal solutions that meet both organizational and client requirements.
• You will handle HR service cases and provide suitable resolutions.
• Collaborate with HR Operations Specialists and Senior Specialists as necessary.
• Calculate, maintain, and update complex data records in HR systems related to Benefits, Pensions, Insurances, Time Tracking, and Garnishment.
• Manage document processing where client self-service is not an option.
• Oversee client invoice reconciliations from various third parties and local governance.
• Assist in the change order management process for internal applications and liaise with third parties for change order management when applicable.
• Engage in testing and validation for minor system updates and simple configuration changes (e.g., new wage types) as required.
• Manage the upkeep of Standard Operating Procedures (SOPs), Detailed Work Instructions (DWIs), guidelines, and other process documentation, ensuring consistency across regions while accommodating local variations.
• Maintain effective communication with key stakeholders (including country teams and clients) to ensure uniform application of global and local standards, procedures, and process modifications.
• Participate in data controls utilizing the SAP Payroll Control Centre tool and SAP integration data monitoring tool, processing SD Worx scope data corrections when necessary.
• Adhere to service level agreements and deadlines for payroll processing.
• Communicate with external entities, such as tax authorities and benefit providers, as required.
• Provide support, guidance, and training to HR Operations Associates, ensuring adherence to best practices and compliance with local regulations.
• Process Year End activities.
• Proficiency in both English and Danish languages.
• 1-3 years of experience in HR Operations and/or Payroll outsourcing within an enterprise setting.
• Fundamental knowledge and practical experience with HR processes including, but not limited to, Time Tracking, Benefits, Garnishments, Pensions, Insurances, and document management.
• Experience in calculations, data processing, and administrative tasks.
• Understanding of Service Level Agreements (SLAs).
• Strong communication skills with the ability to effectively engage with clients.
• Capacity to manage multiple priorities in a dynamic environment and efficiently meet client requirements.
• Demonstrated ability to work under pressure, prioritize tasks effectively for the team, and ensure high levels of client satisfaction.
• Excellent problem-solving and resolution capabilities.
• High attention to detail and strong organizational skills.
• Eagerness to learn and develop expertise in payroll.
• Familiarity with SAP SuccessFactors, SAP Payroll, Call Centre technology, HR analytics, and automation tools is advantageous.
• Certifications such as PHR or CIPD are a plus.
