This is a fully remote position, open to applicants in Brazil.
β’ Oversee the complete management of our ATS (TeamTailor): posting job openings, managing candidate pipelines, coordinating interviews, and handling the offer process until the signed letter is received.
β’ Collaborate with hiring managers to create structured interview guides, role scorecards, and evaluation rubrics.
β’ Proactively source candidates for challenging roles via LinkedIn, job boards, and referral networks.
β’ Monitor and report on the effectiveness of sourcing channels, time to fill, time to hire, and offer acceptance rates.
β’ Manage relationships with job board and ATS vendors, including billing and troubleshooting features.
β’ Stay updated on federal and state employment law changes that impact our multi-state remote workforce.
β’ Maintain I-9 records ensuring compliance with employment eligibility verification requirements.
β’ Ensure accurate worker classification (W-2, 1099, EOR) in collaboration with finance and external counsel as necessary.
β’ Oversee and update the employee handbook and policy library to ensure policies are current, clear, and consistently applied.
β’ Manage relationships with Employer of Record (EOR) vendors for contractor and international placements.
β’ Take ownership of the HiBob platform, including employee records, onboarding and offboarding workflows, time-off policy configurations, and ensuring data integrity.
β’ Conduct end-to-end new hire onboarding processes: managing documentation, coordinating systems access, and facilitating 30/60/90-day check-ins.
β’ Handle offboarding processes: preparing exit documentation, conducting exit interviews, issuing COBRA notices, and coordinating final pay.
β’ Ensure data accuracy across HRIS, payroll, and benefits systems.
β’ Act as the primary contact for employee inquiries regarding policies, benefits, PTO, and workplace issues.
β’ Assist managers in navigating performance conversations, providing cross-project feedback, and addressing challenging employee situations.
β’ Contribute to the design and implementation of scalable processes for structured feedback in a matrixed engineering environment.
β’ Identify early warning signs such as retention risks, engagement patterns, and cultural friction, and communicate these to leadership.
β’ Produce a monthly HR scorecard for executive review.
β’ Take ownership of and continuously enhance core metrics: Time to Fill, Time to Hire, 90-Day Retention Rate, Voluntary Turnover Rate, Offer Acceptance Rate, Internal Mobility Rate, and Average Tenure at Separation.
β’ Convert data into actionable insights β interpreting not just the numbers, but their implications and necessary actions.
β’ 3β5 years of experience as an HR Generalist or HR Coordinator β encompassing recruiting, compliance, and people operations, rather than focusing on just one area.
β’ Proven experience managing the full-cycle recruiting process independently, from intake to offer.
β’ Working knowledge of fundamental employment law principles: FLSA, ADA, FMLA, I-9, and the complexities of multi-state compliance.
β’ Experience as a solo or nearly solo HR professional in a company with 20β150 employees.
β’ Proficient in using an ATS and an HRIS platform β comfortable with new tools and quick to learn them.
β’ Excellent written and verbal communication skills β capable of drafting clear policies, empathetic employee emails, and executive-ready reports.
