This is a fully remote position, open to applicants in Spain.
• Assist in the coordination of essential HR, administrative, and IT processes.
• Oversee the onboarding and offboarding procedures by utilizing established checklists.
• Keep employee and contractor records updated, including internal directories and organizational charts.
• Address basic employee inquiries and direct questions to the appropriate personnel.
• Monitor key employee information such as start dates, terminations, and changes in roles.
• Review and manage state-level communications, escalating issues as necessary.
• Collaborate with the Accounting team to coordinate payment calculations.
• Create and deactivate user accounts based on approved requests.
• Manage email distribution lists and aliases effectively.
• Provide basic Tier 1 support, including password resets and troubleshooting access issues, escalating when necessary.
• Assist in scheduling meetings and coordinating administrative tasks.
• Maintain shared trackers related to onboarding, offboarding, and access logs.
• Work with internal teams and external vendors to facilitate daily operations.
• Prepare regular reports such as open headcounts and departmental headcounts.
• Ensure operational data remains accurate and up-to-date.
• Excellent English communication skills, both written and verbal.
• Minimum of 2 years of experience in administrative, operations, HR support, or similar positions.
• Strong organizational abilities and meticulous attention to detail.
• Experience in collaborating with remote teams, preferably those based in the U.S.
• Ability to adhere to structured processes and checklists.
• Proficient in Microsoft Office, Google Workspace, and collaboration platforms such as Slack or Teams.
• Must be available to work during EST business hours.
• High degree of discretion when managing sensitive information.
• Fully remote contractor position.
