This is a fully remote position, open to applicants in Philippines.
• Collaborate with carers, clients, patients, and family members to coordinate care schedules and provide service updates.
• Assist in managing staff rosters using the organization's care management software.
• Manage routine operational communications through company email and WhatsApp.
• Address schedule modifications, cancellations, appointment inquiries, and other care-related notifications.
• Support the office team with everyday operational responsibilities.
• Keep track of staff compliance records and oversee Right to Work checks.
• Aid in DBS administration and monitor training records, proof of address, and regulatory documents.
• Assist in preparing documentation for compliance audits while adhering to CQC standards and company guidelines.
• Review and arrange weekly staff timesheets.
• Help with payroll preparation.
• Prepare and process invoices using invoicing software.
• Maintain precise administrative records for the accountant.
• Execute document management, data entry, and routine office administration tasks.
• Keep digital records organized and comply with company SOPs.
• Handle confidential patient and employee information with professionalism and discretion.
• 1–3 years of relevant work experience.
• Prior experience as an Administrative or Executive Virtual Assistant.
• Proficiency in Microsoft Office applications, including Excel, Word, and Outlook.
• Exceptional written and verbal communication skills in English.
• Highly organized with a keen eye for detail.
• Capability to multitask and prioritize effectively in a fast-paced setting.
• Eagerness to learn about UK healthcare regulations and company procedures.
• Commitment to maintaining strict confidentiality and signing an NDA.
• Preferred: background in healthcare, nursing, medical administration, or allied health.
• Preferred: knowledge of UK healthcare or home care services.
• Preferred: understanding of basic medical terminology.
• Preferred: experience in supporting regulated healthcare environments.
• Preferred: experience with compliance documentation and staff onboarding.
• Comfortable using or willing to learn Microsoft Excel, Microsoft Word, Outlook/company email, WhatsApp, online care management software, online timesheet management systems, invoicing software, and digital document management systems.
• Availability to work from 8:00 AM to 6:00 PM UK Time.
• Occasional after-hours messages may need acknowledgment or action.
• Target start date: October 1.
• Training will be provided on all company-specific platforms and processes.
