Grants and Contracts Manager, Campus Grants Management Team

📋 Description

• Provide guidance to Principal Investigators on administrative prerequisites for proposal submissions.

• Create proposal budgets along with justifications for those budgets.

• Prepare, coordinate, and review proposals to ensure they are complete, accurate, and compliant.

• Monitor guidelines from sponsors and the university, including Facilities and Administrative costs.

• Track the status of proposals and communicate deadlines and submission requirements.

• Coordinate subcontract activities with collaborating organizations and research administration offices.

• Manage complex sponsored projects that involve multiple investigators, departments, and disciplines.

• Develop project management plans as necessary.

• Conduct monthly financial reconciliations.

• Communicate with faculty on financial and compliance issues and implement necessary adjustments.

• Process cost transfers, salary redistributions, rebudgets, and no-cost extension requests.

• Monitor and reconcile subrecipient budgets and ensure the submission of required reports.

• Maintain financial documentation in accordance with retention requirements.

• Manage cost-sharing commitments effectively.

• Oversee budgets, reporting, and sponsor deadlines throughout the lifecycle of the award.

• Coordinate the establishment and monitoring of subrecipient agreements.

• Address any project overdrafts that arise.

• Ensure accurate recording and management of award revenue.

• Close out sponsored projects in a timely manner.

• Prepare reports and analyses for senior leadership review.

• Collaborate with the Senior Manager on staff training and support initiatives.

• Act as the primary escalation point for guidance on grants and contracts as well as policy interpretation.

• Track team performance metrics and implement enhancements as needed.

• Recommend personnel actions when appropriate.

• Supervise Grants and Contracts Administrators while supporting their professional development.

• Complete performance management tasks.

• Promote collaboration, accountability, communication, learning, and professional growth.

• Lead at least two direct reports while actively managing a grant portfolio.


⛳️ Requirements

• Bachelor’s degree.

• Successful completion of Duke's Research Administration Academy within the first 12 months of employment.

• Successful completion of Advanced Grants Management within six months following the completion of the Research Administration Academy.

• Maintenance of required certifications through ongoing education.

• A minimum of three years of relevant experience in grants and contracts administration and/or leadership roles.

• Advanced understanding of grants and contracts administration.

• Proficient in Microsoft Office Suite, particularly with advanced Excel capabilities.

• Experience in supervising, mentoring, and developing professionals in grant administration.

• Knowledge of federal, non-federal, and international sponsored research administration.

• Familiarity with research compliance, internal controls, effort management, and sponsored project accounting.

• Strong critical thinking, analytical, and problem-solving skills.

• Exceptional attention to detail and sound independent judgment.

• Ability to manage multiple priorities and meet deadlines effectively.

• Excellent verbal and written communication skills.

• Adaptability to changes in regulatory and technological environments.

• Commitment to customer service and a collaborative partnership with faculty and staff.

• Remote employees must reside in an approved U.S. state or Washington, DC.
