This is a fully remote position, open to applicants in Estonia.
β’ Serve as the subject-matter expert for Polish HR administration, monitoring legislative changes and translating them into clear operational implications across documentation, processes, and compliance controls.
β’ Implement and uphold global HR operational processes throughout the employee lifecycle: accurate handling of onboarding and offboarding documents, as well as documentation for employee changes, absences, and terminations in collaboration with the Payroll Team and external providers across various jurisdictions (Lithuania, Estonia, Poland, and more).
β’ Manage all employee lifecycle transactions within HiBob or a related HRIS platform: including new hires, internal transfers, role and department changes, promotions, compensation updates, and offboarding.
β’ Take ownership of and continuously enhance the configuration, workflows, and data integrity of HiBob or the related HRIS platform.
β’ Ensure the maintenance of complete, accurate, and audit-ready employee files and HR records in compliance with local regulatory requirements in HiBob or the related HRIS platform.
β’ Provide operational HR support to employees regarding employment-related inquiries.
β’ Identify opportunities to refine, harmonize, and standardize HR operational workflows across the EMEA region while adhering to local legal obligations.
β’ A minimum of 4 years' experience in HR Operations, HR Administration, HR Specialist roles, or a related field, along with a Bachelor's degree in Legal, Human Resources, Business Administration, or a similar discipline.
β’ Extensive practical knowledge of the Polish Labor Code, HR administration practices, and operational controls, with proven experience applying these in a multi-entity setting.
β’ Strong practical understanding of EMEA labor law and its implementation in everyday HR operations.
β’ Comprehensive understanding of the full employee lifecycle from an operational standpoint.
β’ Demonstrated hands-on experience with HiBob or a similar HRIS platform.
β’ Exceptional attention to detail and robust organizational capabilities.
β’ Proficiency in English (C1) and Polish (B2+).
