This is a fully remote position, open to applicants in United States.
• Act as a strategic consultant to the Principal/Founder, offering expert advice on administrative operations, including office management, facilities, technological systems, HR functions, compliance coordination, and vendor relationships.
• Design and execute a scalable administrative framework, formulating policies, procedures, and controls across HR, IT, compliance, legal coordination, and risk management to facilitate firm expansion.
• Provide guidance on Human Resources strategy and operations, encompassing talent acquisition processes, onboarding programs, benefits management, employee relations frameworks, performance management systems, and compliance with employment law.
• Establish frameworks for corporate governance and board administration, creating templates for board materials, meeting protocols, entity management systems, regulatory filing processes, and liaising with external counsel.
• Develop compliance and risk management frameworks, collaborating with firm leadership to formulate policies, prepare for regulatory inspections, structure insurance programs, and ensure adherence to SEC, FINRA, and other regulatory standards.
• Evaluate and enhance technology and information systems, offering suggestions on data security, business continuity planning, disaster recovery, cybersecurity measures, and improvements to IT infrastructure.
• Assess and negotiate vendor contracts for administrative services, such as office leases, IT service providers, insurance brokers, benefits administrators, and office services, to optimize costs and service quality.
• Streamline administrative workflows by adopting best practices in document management, workflow automation, and cross-departmental coordination between investment and operational teams.
• Assist in budgeting and resource planning for administrative tasks, offering insight on cost management and proper resource allocation.
• Create protocols for crisis management and business continuity, documenting procedures, establishing backup systems, and formulating contingency plans along with testing frameworks.
• Lead special projects, such as office relocations, system implementations, organizational restructuring, policy development, and other strategic initiatives that require administrative expertise.
• Bachelor’s degree in business administration, finance, or a related field.
• PMP (Project Management Professional) certification is required.
• An MBA or Scrum Master Certification is a plus.
• Professional experience within a Family Office or Alternative Asset Firm.
