Finance Manager, Ecommerce Agency

This is a fully remote position, open to applicants in United States.

📋 Description

• Take ownership of the weekly P&L, ensuring that all income and expenses are recorded accurately and kept current.

• Conduct weekly reconciliations within Xero, aligning transactions and resolving discrepancies before they escalate.

• Timely preparation and dispatch of client invoices, coupled with assertive and professional follow-ups until payment is secured.

• Prepare and distribute candidate invoices, collaborating with the Talent Acquisition team to guarantee billing precision.

• Oversee payment follow-ups for all outstanding invoices, ensuring that no items are overlooked.

• Supervise and manage financial inboxes, prioritizing emails and responding or escalating with urgency and accuracy.

• Monitor all incoming and outgoing payments, promptly flagging any anomalies to leadership.

• Maintain organized and accurate records within Xero and any supplementary tools (Airtable / ClickUp / Notion).

• Collaborate with the Customer Success and Talent Acquisition teams to align billing with active placements and contracts.

• Generate weekly financial snapshots and summary reports for internal analysis.

• Proactively identify cash flow risks, overdue accounts, and irregularities — do not wait for inquiries.

• Excellent written and verbal English skills — professional communication across all platforms is essential.

• Demonstrated experience with Xero (a must).

• Exceptional attention to detail — accuracy in numbers is imperative.

• Experience in managing invoicing processes, accounts receivable, and financial reconciliations.

• Ability to handle multiple financial tasks and deadlines concurrently without sacrificing precision.

• Highly organized with effective inbox and task management practices.

• Discreet and reliable when dealing with sensitive financial data.

• Comfortable working remotely in a dynamic, lean team setting.

• Availability during European business hours (CET).

• A background in finance, accounting, bookkeeping, or a related discipline is a significant advantage.
