This is a fully remote position, open to applicants in Sri Lanka.
• Oversee and prioritize a high-volume executive inbox, ensuring that critical communications receive prompt attention.
• Classify urgent versus non-urgent issues and develop actionable follow-up summaries.
• Manage intricate calendar scheduling among various stakeholders, priorities, and time zones.
• Assist with executive travel arrangements, scheduling adjustments, and related operational coordination.
• Monitor expenses, receipts, reimbursements, and administrative workflows.
• Prepare materials for executive briefings, meeting preparation documents, and summaries of action items.
• Aid in the tracking of KPIs and OKRs across multiple business functions.
• Examine updates and operational reporting for thoroughness, quality, and precision.
• Detect obstacles, inconsistencies, and execution gaps while proactively offering recommendations.
• Facilitate accountability and follow-through across teams and initiatives.
• Coordinate operational workflows and assist in cross-functional execution efforts.
• Support organizational initiatives aimed at enhancing execution, visibility, and team alignment.
• Maintain CRM accuracy and promote consistency in operational processes.
• Identify opportunities to enhance workflow efficiency through automation and process enhancements.
• Contribute to the creation of operational systems that foster long-term growth.
• Employ systems thinking to bolster organizational effectiveness and minimize operational friction.
• Coordinate scheduling, communications, and logistics related to executive initiatives and external engagements.
• Review documentation and communications to ensure consistency and quality.
• Assist in upholding communication standards, templates, and organizational documentation.
• Support the establishment and maintenance of scalable operational systems and processes.
• Document workflows, procedures, and best practices to enhance organizational effectiveness.
• 3–6+ years of experience in executive operations, business operations, founder support, operations coordination, project management, or similar operational environments.
• Strong background in supporting senior leaders through calendar management, inbox management, prioritization, travel coordination, and operational assistance.
• Demonstrated ability to juggle multiple priorities simultaneously while upholding high standards of execution and follow-through.
• Significant capacity to identify inefficiencies, refine workflows, and construct scalable operational systems.
• Exceptional written and verbal communication skills, with the ability to convey information clearly to stakeholders at various levels.
• Experience in spotting opportunities to boost efficiency through process optimization, automation, and operational tooling.
• Proficiency with CRM systems, productivity platforms, project management tools, documentation systems, and AI-enabled workflows.
• Strong proactive mindset, capable of independently identifying issues, proposing solutions, and driving execution.
