This is a fully remote position, open to applicants in Lebanon.
• Oversee and prioritize the calendars, meetings, and scheduling for executives.
• Facilitate meetings involving various stakeholders across different time zones.
• Create meeting agendas, summaries, minutes, and follow-up action trackers.
• Track executive priorities and ensure that action items are executed promptly.
• Assist with leadership communication and administrative tasks.
• Follow up with departments regarding ongoing projects, deliverables, and deadlines.
• Manage communication between teams and leadership.
• Maintain awareness of operational priorities and escalation points.
• Identify risks, delays, and bottlenecks, ensuring they are addressed in a timely manner.
• Compile executive reports, summaries, dashboards, and presentations.
• Keep organized documentation and digital records.
• Ensure that information is accurate, well-structured, and easily accessible.
• Assist with KPI tracking and reporting tasks.
• Help enhance workflows, coordination processes, and reporting systems.
• Leverage digital and AI productivity tools to boost efficiency.
• Contribute to initiatives aimed at operational excellence.
• A minimum of 3 years of experience in roles such as Executive Assistant, Executive Coordinator, Administrative Manager, Operations Coordinator, Project Coordinator, Administrative Coordinator, Chief of Staff Support, Office Manager, etc.
• Exceptional English communication skills, both written and verbal.
• Strong organizational skills and ability to follow up effectively.
• Experience in creating reports, meeting minutes, and executive documentation.
• Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
• Capability to manage multiple priorities at once.
• Ability to work independently in a fully remote setting.
• French proficiency is preferred.
• Experience providing support to senior leadership, executives, directors, or CEOs.
• Background in international organizations.
• Familiarity with AI productivity tools (such as ChatGPT, Claude, Copilot, etc.).
• Experience with project management or task-tracking systems.
