This is a fully remote position, open to applicants in Spain, +3 more countries.
• Oversee the entire Global Business Partnerships Team, which includes organizing weekly, monthly, quarterly, and annual meetings, town halls, team communications, strategy documentation, action item tracking, team building initiatives, and community events.
• Provide comprehensive administrative support, such as managing calendars, coordinating meetings and conferences, arranging travel, processing expense reports, preparing communications, ordering supplies, handling invoices and purchase orders, drafting meeting minutes, managing agendas, tracking action items, and maintaining organizational charts and email distribution lists.
• Execute a diverse range of non-routine administrative tasks, including assisting with periodic special projects or assignments.
• Collect, compile, and report information pertinent to the VP’s assignments, including Organizational Health Survey analytics and training completion performance metrics.
• Utilize problem-solving abilities to facilitate process improvements in systems, processes, and communications.
• Aid in the onboarding process for new direct staff members and contribute to the overall extended team onboarding program.
• Oversee logistics for quarterly strategic meetings at various global locations, which includes content preparation, catering arrangements, AV setup, and venue bookings.
• Collaborate with HR, Talent Acquisition, and the Hiring Leader to schedule interviews for staff-level department vacancies.
• Efficiently manage scheduling with internal and external third-party partners, including hospitality venues and transportation/logistics providers.
• Associate’s or Bachelor’s degree or equivalent, with a minimum of 6 years of experience in administrative support.
• Strong skills in organization, technical proficiency, communication, and influence, both written and verbal, with the capability to work confidently across all organizational levels and with external business contacts.
• Advanced proficiency in Microsoft Office Suite, including Teams, PowerPoint, Word, Excel, and Outlook, with the ability to create meeting materials and follow up to ensure timely receipt of content.
• Demonstrated experience in supporting projects and managing multiple priorities within a dynamic environment, while professionally handling interruptions.
• Experience in working with confidential and sensitive information.
• A strong drive for results, responsiveness, self-initiative, and the capacity to learn quickly and manage a diverse range of projects, tasks, and issues in innovative and effective ways.
• Willingness to travel 3 to 4 times per year, totaling approximately 10 to 12 days annually.
