Events Producer

This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee Windfall events from start to finish, including planning, on-site execution, and follow-up activities.

• Develop production schedules, timelines, run-of-show documents, and checklists.

• Handle venue selection, vendor management, budgeting, contract negotiations, materials coordination, and participant logistics.

• Collaborate with co-conveners, host institutions, external agencies, and partner teams.

• Be present at events to manage setup, registration, room flow, speaker support, and troubleshoot any issues.

• Create templates, playbooks, vendor lists, and processes that enable Windfall to expand its convening efforts.

• Design and uphold the operational framework — including playbooks, templates, vendor relationships, and checklists — that supports Windfall in executing a high volume of events with consistent quality.

⛳️ Requirements

• Minimum of 5 years of experience in producing high-quality events, convenings, workshops, roundtables, or executive meetings.

• Proven experience managing complex events from inception to completion, including budget oversight, vendor coordination, timeline management, and on-site execution.

• Exceptional project management capabilities, meticulous attention to detail, and strong written communication skills.

• Ability to engage comfortably with senior stakeholders, speakers, participants, and partners.

• Experience in managing or coordinating external event producers, agencies, or vendors during events.

• Proficient in operating as a system designer, not merely as an executor — you establish the infrastructure that others can utilize.

• Experience in developing operational systems, templates, or processes.

• Comfortable working within a remote, international team environment.

• Willing to travel internationally as required.

• Experience in producing closed-door policy convenings, philanthropic events, government or diplomatic meetings, Chatham House-style discussions, or AI/technology policy events would be particularly advantageous.
