This is a fully remote position, open to applicants in United States.
• Serve as the principal exhibition leader and a trusted strategic consultant for clients.
• Convert client goals into engaging exhibition spaces and experiences.
• Promote a sponsor-first mindset throughout all phases of planning and execution.
• Conduct post-event evaluations, reporting, and performance assessments.
• Manage client feedback during the project lifecycle, identifying solutions and driving ongoing improvements.
• Oversee the execution of intricate exhibition programs featuring over 100 exhibitors and sponsors.
• Supervise exhibition frameworks, timelines, trackers, operational procedures, and exhibitor manuals.
• Lead weekly meetings with clients, suppliers, and internal project teams.
• Provide strategic direction across various workstreams including Custom Build, Graphics, Creative, Technical Production, and Marketing.
• Work closely with Sponsorship, F&B, Creative, and Production teams to ensure coherence and successful execution.
• Manage exhibition contingency strategies and risk assessment.
• Ensure project timelines, budgets, and deliverables are met successfully.
• Cultivate and sustain outstanding relationships with clients, suppliers, and stakeholders.
• Supervise supplier management efforts and promote a collaborative "one team" ethos.
• Establish thorough tracking and reporting systems to guarantee sponsor fulfillment and operational excellence.
• Direct floor planning and exhibition design processes alongside Sponsorship, Creative, and Technical teams.
• Oversee exhibition branding, signage, architectural elements, and areas for attendee engagement.
• Ensure exhibition settings are consistent with client goals, budgets, and safety regulations.
• Enhance attendee and exhibitor experiences through strategic design and layout choices.
• Create and manage exhibition budgets of up to $5M or more.
• Deliver precise forecasting, budget reporting, and financial oversight.
• Identify opportunities for cost savings while maintaining attendee, sponsor, and exhibitor satisfaction.
• Negotiate effectively with suppliers to optimize value for clients.
• Offer proactive solutions and recommendations to clients and internal stakeholders.
• Oversee exhibition teams, suppliers, venue partners, and stakeholders.
• Address challenges and implement solutions in real-time.
• Uphold the highest standards of delivery, execution, and customer experience.
• Mentor and nurture exhibition team members.
• Encourage a culture of ownership, accountability, and continuous enhancement.
• Provide coaching, feedback, and opportunities for development.
• Lead with resilience and confidence in dynamic, high-pressure settings.
• Over 8 years of experience leading and executing large-scale exhibition programs, preferably in conference or major event settings.
• Agency experience is highly desirable.
• Demonstrated success in managing exhibition show floors with over 100 exhibitors and sponsors.
• Extensive experience in managing complex budgets exceeding $5M.
• Strong background in client relationship management and stakeholder engagement.
• Experience collaborating with Creative, Production, and Technical teams on large-scale event setups.
• Robust commercial, financial, and contract management skills.
• Advanced Excel capabilities and strong proficiency in Microsoft PowerPoint.
• Excellent leadership, mentoring, and team management skills.
• Exceptional communication, negotiation, and problem-solving abilities.
• Ability to stay composed and decisive in high-pressure situations.
