This is a fully remote position, open to applicants in United States.
• Take charge of planning and executing all Marketing-driven events, such as trade shows, conferences, executive and VIP gatherings, customer/prospect events, dinners, webinars, virtual experiences, and additional field activations.
• Oversee events from start to finish, which includes event evaluation, budgeting, contracts, timelines, vendor management, sponsorship deliverables, attendee coordination, travel/logistics, booth execution, promotional items, marketing promotions, meeting programs, and on-site assistance.
• Act as the primary Marketing "quarterback" for significant events, ensuring clear ownership and accountability across Marketing, Sales, BDR, RevOps, Partnerships, 3PL, and other involved teams.
• Maintain Passport's event calendar and assess opportunities based on audience alignment, strategic significance, anticipated pipeline impact, costs, and historical performance.
• Support events led by Partnerships and 3PL, HR-led offsites, and experiences hosted by Passport surrounding major industry occasions.
• Oversee virtual event execution, including webinars, partner webinars, panels, and other digital experiences.
• Define event objectives, target audiences, success metrics, budgets, and anticipated outcomes.
• Coordinate activities before, during, and after events to achieve measurable business results.
• Collaborate with Sales and BDR teams on target accounts, prospect lists, meeting-setting campaigns, messaging, attendee goals, outreach, lead nurturing, and pipeline acceleration.
• Establish processes for lead capture and routing; manage post-event follow-up, lead handoffs, campaign membership, personalized outreach, and debriefs.
• Collaborate with RevOps on Salesforce campaigns, attribution, lead sources, meeting/Buyer conversation tracking, opportunities, pipeline, and bookings.
• Own the tracking of ROI and reporting on event performance.
• Own, implement, maintain, and continuously enhance Passport's Events Playbook.
• Create scalable event templates, checklists, briefs, timelines, communication plans, and workflows.
• Lead cross-functional event kickoffs, planning sessions, and post-event debriefs.
• Identify and assess speaking opportunities, including keynotes, panels, fireside chats, roundtables, workshops, podcasts, webinars, and virtual summits.
• Develop topics, abstracts, speaker positioning, and supporting materials in collaboration with Product Marketing, Content, Digital, and other stakeholders.
• Manage speaker submissions and logistics for participation.
• Maintain a calendar of speaking opportunities, deadlines, placements, and outcomes.
• Equip event participants with messaging, collateral, talking points, presentations, product demonstrations, and competitive context.
• Prepare Sales and BDR teams through event-specific training.
• Collect and disseminate insights on customers, prospects, industry, competitors, and market trends.
• Coordinate customer and prospect gifting, promotional items, sampling, and related field marketing initiatives.
• 3–5 years of experience in events, field marketing, or B2B marketing.
• Significant hands-on involvement in event planning and execution.
• Proven experience managing in-person events from beginning to end, including conferences, trade shows, sponsorships, dinners, and other field activations.
• Experience in executing webinars, partner programs, or other virtual events.
• Strong understanding of how events drive lead generation, pipeline growth, customer engagement, and revenue.
• Experience collaborating closely with Sales, BDR/SDR, Partnerships, Revenue Operations, and Marketing teams.
• Familiarity with Salesforce and marketing/sales technology.
• Experience with platforms like HubSpot, Highspot, Sendoso, Salesloft, or similar is advantageous.
• Excellent project management capabilities.
• Ability to manage multiple events, budgets, vendors, timelines, deliverables, and stakeholders concurrently.
• Exceptional attention to detail.
• Comfortable using data to establish event goals, assess performance and ROI, identify improvement areas, and guide future investment decisions.
• Strong written and verbal communication skills.
• Resourceful, proactive, and able to operate autonomously in a fast-paced environment.
• Willingness and ability to travel as needed (a few times per year) for events.
