This is a fully remote position, open to applicants in Canada.
• Facilitate kickoff calls and ongoing meetings with sponsors to ensure alignment on objectives, expectations, and deliverables.
• Convert client business goals into customized activation strategies across in-person, virtual, and unique event formats.
• Oversee sponsor relationships for multiple assigned events, guaranteeing a high standard of service and engagement.
• Organize and implement tailored client programs, including executive dinners, roundtables, private events, and bespoke experiences.
• Collaborate with audience development teams to enhance sponsor-targeted attendee recruitment efforts.
• Supervise sponsor involvement in speaking opportunities, panels, and brand activations at on-site summits.
• Maintain ongoing communication with clients, suppliers, and internal stakeholders (mainly through MS Teams).
• Monitor KPIs, collect post-event feedback, and provide ROI reports to sponsors.
• Work closely with sales teams to align expectations and ensure client satisfaction.
• Plan and manage event logistics for multiple concurrent programs, including venue coordination, floorplan management, AV, branding, and client activations.
• Create and oversee comprehensive event documentation, such as project plans, run-of-show, budgets, and supplier contracts.
• Coordinate with both internal and external stakeholders to manage agendas, timelines, and deliverables.
• Ensure optimal sponsor visibility and execution to provide a top-notch experience for both attendees and clients.
• Travel to assigned events (approximately 4–6 times per year) within North America.
• Assist with select events in major cities including Toronto, Vancouver, Calgary, San Francisco, New York City, Chicago, Dallas, and Boston.
• Supervise on-site execution, encompassing client management, meeting coordination, and event troubleshooting.
• Manage post-event tasks including reporting, financial reconciliation, client deliverables, and debrief sessions.
• Over 5 years of experience in event management, client/partner relations, or B2B sponsorship delivery.
• Excellent verbal and written communication skills (English fluency is a must).
• Client-focused mindset with a proactive and solutions-oriented approach.
• Highly organized with meticulous attention to detail and the capacity to juggle multiple priorities simultaneously.
• Confident, professional, and personable; able to cultivate relationships and work effectively with senior stakeholders and strong personalities.
• Proven project management skills with a structured, deadline-oriented methodology.
• Familiarity with event and project management tools such as Monday.com (preferred) and CVENT (preferred) – or the ability to quickly learn these systems.
• Knowledge of CRM systems and virtual collaboration tools like MS Teams and Zoom.
• Experience with WordPress or comparable CMS platforms is a plus.
• Self-motivated with the ability to work independently while collaborating with distributed teams.
