This is a fully remote position, open to applicants in United States.
• Oversee all facets of full-service and a la carte meeting and incentive programs of different sizes and complexities.
• Direct program planning from inception to conclusion, encompassing goals, objectives, supplier contracts, cost projections, execution, and reconciliation.
• Conduct discovery calls, engage with customers, assess meeting requirements, and involve internal stakeholders.
• Recommend destinations and submit RFPs through Cvent according to program goals, budget, and spatial needs.
• Generate precise documents and reports for clients and vendors.
• Negotiate and finalize supplier contracts for hotels/venues, ground transportation, DMCs, audio-visual production, food and beverage, activities, and other services.
• Provide meeting owners/requesters with detailed summaries of terms, deadlines, total costs, and deposits.
• Log budgets, expenses, savings, and contract executions in Cvent or relevant technology.
• Travel onsite with programs as required while representing Event Travel Management professionally and positively.
• Oversee program reconciliation, invoicing, accounts payable, and accounts receivable when necessary.
• Follow up to guarantee timely payment processing and revenue reconciliation.
• Deliver exceptional service, manage relationships with meeting owners, and provide professional recommendations.
• Secure repeat business.
• Accurately track time for project billing.
• Perform additional duties as assigned.
• A high school diploma or equivalent is mandatory.
• At least five (5) years of experience in event/meeting planning is required.
• CMP and/or CMM designation is preferred.

• Proficient in Microsoft Office Suite.
• Basic math skills are necessary.
• Capability to read and interpret various information.
• Strong attention to detail.
• Regular and dependable attendance is required.
• Comprehensive knowledge of domestic and international destinations, hotel brands, and venues.
• General understanding of RFPs, registration technologies, and online booking tools used in Events.
• Willingness to work evening hours, weekends, and extended hours during peak periods.
• Ability to travel onsite with programs and attend client meetings as needed.
