This is a fully remote position, open to applicants in North Carolina.
• Take responsibility for the complete event lifecycle for Guidebook's more than 10 annual higher education trade shows and conferences, starting from sponsorship strategy to post-event evaluation.
• Oversee all logistics from start to finish: shipping, receiving, AV coordination, electrical needs, signage, vendor management, booth design and setup, teardown, and storage.
• Be present at each sponsored event, representing Guidebook, managing the booth, coordinating internal teams, troubleshooting issues, and ensuring seamless execution.
• Lead pre-event organization and promotion: coordinate email campaigns, social media announcements, targeted advertising, and internal briefings to enhance attendance and engagement prior to each event.
• Foster demand generation at events: assist with the meeting booking process, follow-up sequences, and lead capture workflow to maximize pipeline effectiveness.
• Manage event timelines and logistics calendars to ensure sales, customer success, and product teams are well-informed of their schedules and preparations.
• Coordinate daily vendor and partner relationships, including AV companies, freight shippers, print vendors, exhibition partners, and creative agencies.
• Collaborate with the Director of Marketing to manage event budgets, tracking expenditures against allocations, identifying variances, and ensuring return on investment.
• Conduct post-event follow-ups: take ownership of the lead nurturing workflow, ensure timely outreach to qualified prospects, and brief relevant teams on lead handoffs.
• Prepare comprehensive post-event recap reports within one week of each event, detailing leads, pipeline impact, costs, attendance, booth traffic, feedback, and key insights to shape future strategies.
• Bachelor’s degree is mandatory.
• 1–2 years of event-related experience, preferably in B2B settings, specifically within higher education or EdTech.
• Genuine enthusiasm for events and a readiness to travel for over 10 events annually (typically 2–4 nights per show).
• Excellent written and verbal communication abilities.
• Comfortable collaborating with a manager located in a remote office and across multiple time zones.
• Detail-oriented individual with a strong capability to track timelines, deliverables, and logistics.
• At ease with public-facing responsibilities (managing a booth, hosting webinars, creating video content).
• A proactive problem solver who remains calm under pressure and is adept at finding creative solutions when plans evolve.
• Familiarity with tools is beneficial but not essential; training will be provided. Relevant exposure includes Salesforce, Canva, LinkedIn Campaign Manager, YouTube Studio, Wistia, and email marketing platforms (we utilize Conversion AI).
