This is a fully remote position, open to applicants in New York.

📋 Description

• Take full ownership of Kaizen's events strategy from start to finish, including the yearly calendar aligned with the federal buying cycle.

• Assess conferences and sponsorship opportunities, negotiate sponsorship tiers and booth locations, and determine Kaizen's participation.

• Manage booth design, demo presentations, promotional materials, merchandise, vendors, and production partnerships.

• Execute the field motion in collaboration with sales, which includes account targeting, pre-event outreach, scheduling meetings, travel arrangements, staffing, and follow-up activities.

• Organize executive dinners, agency roundtables, and private briefings during major events.

• Secure leadership speaking engagements, panel submissions, and awards, ensuring the capture of photos, videos, and customer stories.

• Define and create Kaizen-hosted summits, dinner series, or ongoing briefings.

• Manage the event budget and reporting linked to the sales pipeline, qualified meetings, and cost per meeting.

• Navigate federal, state, and local gift and hospitality ethics regulations in coordination with the Legal team.


⛳️ Requirements

• 5–15 years of experience in events, experiential marketing, or field marketing.

• Proven track record of managing event strategy and budget.

• Demonstrated experience overseeing a conference circuit, sponsorships, booth construction, and event operations.

• Familiarity with the federal conference landscape or the ability to quickly adapt to it.

• Experience organizing events for federal or public sector clients is highly beneficial.

• Background in developing an events program from part-time or fractional involvement.

• Experience collaborating with sales on targeting and follow-up, evaluated against the sales pipeline.

• Proven ability to produce proprietary events such as dinners, roundtables, and summits.

• Exceptional written and verbal communication skills.

• Proficient in drafting invitations, event briefs, run-of-show documents, and materials for executive preparation.

• Ability to exercise sound judgment under pressure and in publicly visible situations.

• Comfortable managing operational details including shipping, badge scanning, audiovisual needs, staffing, and seating arrangements.

• Possess credibility with senior government stakeholders.

• Capable of managing vendors, agencies, and production partners effectively.

• High degree of autonomy in ambiguous and fast-paced environments.

• Familiarity with AI tools and their integration into daily workflows.

• Demonstrate emotional intelligence, thoughtfulness, and empathy towards public-sector missions.
