This is a fully remote position, open to applicants in Connecticut, +3 more states.
• Supervise and manage the sales administration team responsible for estimation, quote entry, contract processing, and the management of sales documentation, including specifications and drawings.
• Oversee the preparation and accuracy of sales quotations and proposals, ensuring that all technical specifications and drawings are properly integrated and reviewed.
• Coordinate the collection, review, and management of project specifications and drawings, ensuring that all sales documents align with customer and company requirements.
• Ensure that contract preparation, review, and execution are timely and compliant, working closely with the legal and finance departments.
• Develop and implement standardized processes and best practices for sales administration activities to enhance efficiency and accuracy.
• Collaborate with sales representatives, engineering, and project teams to clarify technical details, specifications, and drawings related to quotes and contracts.
• Monitor and report on key sales administration metrics to uncover opportunities for process improvement.
• Train and develop sales administration personnel to enhance their skills and overall performance.
• Keep abreast of company policies, industry regulations, contract requirements, and standards for technical documentation.
• Support the sales team by managing documentation, order entry, follow-up activities, and ensuring the completeness and accuracy of all quotes and contracts.
• Facilitate effective communication between sales and other departments to ensure smooth order processing and high levels of customer satisfaction.
• A Bachelor’s degree (preferably) in Business Administration, Engineering, or a related field.
• Over 5 years of experience in sales support, sales administration, or related roles, including a minimum of 2 years in a supervisory or management role.
• Strong understanding of sales processes, contract management, estimation, and technical documentation (specifications, drawings).
• Exceptional organizational, leadership, and communication skills.
• Proficient in CRM systems, sales quoting software, Microsoft Office Suite, and document management tools.
• Detail-oriented with robust analytical and problem-solving skills.
• Ability to manage multiple priorities and lead a team in a fast-paced environment.
