ESOP New Business Consultant I

This is a fully remote position, open to applicants in California, +4 more states.

📋 Description

• Oversee the onboarding journey starting from the initial welcome call with the plan sponsor until the complete setup of the plan in our ESOP recordkeeping system.

• Guarantee a seamless and prompt setup process for both new ESOP plans and the transition of existing plans from other service providers.

• This involves collaborating with Plan Sponsors and previous providers to gather essential plan records and legal documentation, and participating in ongoing status calls as necessary.

• For transition plans, align asset records with recordkeeping reports and the plan’s annual Form 5500, while establishing plan specifications and participant information in the recordkeeping system.

• Follow up with previous service providers to gather any missing information and demonstrate the capability to prepare calculations for required plan records when past providers cannot supply them.

• Review, verify, and maintain precise onboarding documentation and participant information.

• Leverage advanced Excel functions to organize, analyze, and reconcile data effectively.

• Collaborate cross-functionally with internal teams to ensure timely accomplishment of onboarding tasks.

• Monitor onboarding progress and proactively identify and address discrepancies or issues.

• Maintain professional communication with clients, stakeholders, and internal partners regarding onboarding timelines and requirements.

• Ensure adherence to company policies, procedures, and regulatory standards.

• Keep thorough records and provide status updates as required.

• Quickly adapt to shifting priorities, processes, and client demands in a dynamic work environment.

• Identify opportunities to enhance onboarding workflows and operational efficiency.


⛳️ Requirements

• 1-2 years of direct ESOP experience with practical responsibilities in plan administration, onboarding, or implementation roles.

• Experience must include at least one of the following:

• o Leading or assisting with ESOP plan transitions or new plan implementations

• o Conducting plan-level reconciliations (e.g., trust vs recordkeeping vs Form 5500)

• o Managing participant data setup and validation

• Bachelor’s degree or equivalent relevant experience is required.

• ASPPA credential (e.g., QKA, QPA) is highly preferred.

• Proven hands-on experience in ESOP plan administration and onboarding, including interpreting plan documents, amendments, and eligibility criteria.

• Demonstrated ability to manage full-cycle implementations or plan transitions, including coordinating data collection, tracking deliverables, and adhering to established timelines.

• Strong understanding of Form 5500 reporting, plan reconciliation, and validation of participant-level data.

• Advanced proficiency in Microsoft Excel, including the ability to:

• o Carry out data reconciliations across multiple sources

• o Utilize formulas (e.g., VLOOKUP/XLOOKUP, INDEX/MATCH), pivot tables, and basic data analysis

• o Identify and resolve data discrepancies independently

• Proven ability to analyze incomplete or inconsistent data and proactively follow up to bridge gaps.

• Strong project management skills, including:

• o Managing multiple implementations concurrently

• o Providing status updates to stakeholders

• o Proactively escalating risks or delays

• Ability to work independently in a fast-paced, deadline-driven setting with minimal supervision.

• Excellent client-facing communication skills, capable of clearly and professionally explaining technical ESOP concepts.

• High attention to detail, particularly in ensuring data accuracy and compliance-driven tasks.
