Director of Finance and Administration

This is a fully remote position, open to applicants in California.

📋 Description

• Collaborate with the leadership team to develop program and annual budgets, as well as update pricing policies for contract work.

• Ensure that financial management systems, policies, procedures, and controls uphold fiscal integrity.

• Oversee accounting and financial operations, including billing, accounts receivable/payable, payroll, general ledger, grant invoicing, and cash flow management.

• Manage the Bill Spend & Expense credit card system and provide training to staff on appropriate usage.

• Maintain accurate financial records, create cash flow projections, and present monthly financial reports to the CEO and Board of Directors.

• Provide oversight for annual audits, including reconciliations, audit fieldwork support, audit reports, and tax returns.

• Supervise the Senior Operations Coordinator and assist with office functions.

• Support Salesforce for managing client contracts and pipeline.

• Maintain corporate filings, contracts, insurance documents, vendor contracts, and compliance records.

• Oversee grant management processes, including managing grant-funder invoicing and reimbursement receivables.

• Ensure adherence to funder requirements and compliance with local, state, and federal regulations.

• Manage benefits administration, payroll processing, personnel policy compliance, recruitment, onboarding, and employee relations.

• Maintain the employee handbook and ensure compliance with employment laws.

• Implement systems for data retention, document storage, and risk management.

• Drive strategic objectives, revenue growth, and diversification initiatives.

• Develop financial analyses, dashboards, and reporting tools for the board and senior leadership.

• Enhance financial and operational efficiency through technology and process improvements.

• Assist with the financial aspects of grant proposals and participate in board meetings.


⛳️ Requirements

• A bachelor's degree in Accounting, Finance, Business Administration, or a related field.

• At least 5 years of progressive experience in nonprofit financial management.

• Comprehensive understanding of nonprofit fund accounting, GAAP, and regulatory compliance, including 990s and grant compliance.

• Proven experience in managing budgets, audits, and multi-funder grant reporting.

• Proficient in accounting software such as QuickBooks, Sage Intacct, or similar, along with Microsoft Excel.

• Familiarity with HR/payroll systems like Paylocity, Gusto, or ADP.

• Demonstrated experience in supervisory roles and team leadership.

• Candidates based in the Bay Area / West Coast are preferred.

• CPA, MBA, or an equivalent advanced credential is preferred.

• Experience in HR administration and organizational operations is preferred.

• Expert-level proficiency with QuickBooks Online, Gusto, Bill Spend & Expense, and Bill Payables is preferred.

• Familiarity with Salesforce, WordPress, Dropbox, and Microsoft 365 is preferred.

• Experience working with a Board of Directors is preferred.

• The position requires occasional early morning, evening, and weekend hours, along with some travel.
