Direct Import Operations Coordinator

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Oversee the status of open purchase orders and readiness for shipment.

• Arrange shipment bookings in collaboration with freight forwarders and factories.

• Examine and process factory documentation while receiving inventory into the client’s ERP system.

• Create customer shipping document packets and upload them to customer portals or send via email to customer traffic teams.

• Ensure that bookings are confirmed within the specified customer shipping windows.

• Follow up on booking confirmations and vessel allocations.

• Monitor cargo-ready dates in comparison to planned shipping dates.

• Promptly escalate any delays, capacity issues, missing information, or booking challenges.

• Generate and track shipment milestones through customer shipping logs.

• Collaborate with at least five parties per shipment, necessitating strong follow-up and organizational skills.

• Handle high-volume peak season loads, managing over 100 purchase orders or individual containerized shipments simultaneously.

⛳️ Requirements

• 2 to 5 years of experience in International Import Operations and Supply Chain coordination.

• Background in international logistics, including FOB shipments, import/export documentation, and customs requirements.

• Experience supporting US retailer import programs, with direct exposure to at least one of the following: Costco, Walmart/Sam’s Club, Target, Amazon, Home Depot, Lowe’s, or similar retailers.

• General proficiency in ERP systems is required; hands-on experience with Microsoft Dynamics NAV/BC365 is preferred but can be taught.

• Advanced proficiency in Microsoft Office applications, including Excel, Outlook, and Word.

• Knowledge of global import logistics processes and procedures.

• Familiarity with the processing and creation of global import documentation.

• Capable of following up assertively and professionally with factories and agents.

• Comfortable collaborating across various time zones with US teams.

• Ability to recognize exceptions and escalate issues in a timely manner.
