This is a fully remote position, open to applicants in United States.
• Identify and prioritize events. **Conduct research, assess, and suggest tradeshows, conferences, and industry events that align with our Ideal Customer Profile (ICP) and revenue objectives. Manage a rolling 12-month event calendar.
• Negotiate contracts. **Cultivate relationships with event organizers, vendors, and venues. Negotiate sponsorships, booth spaces, speaking opportunities, and additional services to maximize every dollar spent.
• Plan and execute from start to finish. **Oversee every aspect, including booth design and shipping, promotional items, marketing materials, lead capture methods, badge scanning, audio-visual needs, catering, hotel arrangements, and team travel logistics.
• Serve as the on-site liaison. **Attend every event in person. Set up and dismantle booths, resolve issues in real time, and ensure our presence is polished from beginning to end.
• Prepare the team. **Brief team members attending the event on goals, talking points, target accounts, and logistics. Ensure everyone is informed about their roles and responsibilities.
• Drive pipeline collaboration with sales. **Work alongside the sales team to schedule pre-show meetings, host dinners, and customer events on-site, ensuring every lead is captured, qualified, and followed up promptly.
• Execute pre- and post-event marketing campaigns. **Collaborate with the marketing team on email outreach, landing page creation, paid promotions, and social media efforts to boost booth traffic and meeting bookings ahead of the event.
• Manage the budget. **Oversee event spending throughout the calendar year. Track expenses, accurately forecast, identify risks early, and make informed trade-off decisions when priorities shift.
• Establish KPIs and report on outcomes. **Define specific KPIs for each event (leads, meetings, pipeline, ROI) and create comprehensive post-event reports that analyze what was successful, what was not, and areas for improvement in the future.
• 1 to 4 years of experience in event marketing, field marketing, or event coordination, preferably in B2B or technology sectors.
• Proven experience in organizing events from start to finish, even on a smaller scale. You can provide examples of shows you managed and their outcomes.
• Experience in managing an events budget. You know how to forecast, monitor expenses, and make trade-offs to optimize ROI.
• Comfortable setting KPIs and creating reports that link event activities to pipeline and revenue.
• **Genuinely passionate about AI and leveraging it for efficiency. **You can present specific projects, tools, or processes where you've implemented AI to enhance your work as an events marketer (e.g., research, vendor outreach, post-event analytics, content creation, lead enrichment, etc.). This is essential.
• Familiarity with HubSpot is required for CRM purposes; we will handle the rest.
• Strong project management skills. You excel at keeping track of timelines, budgets, vendors, and numerous moving components without missing a beat.
• Proficient in negotiating with vendors and event organizers to secure the best terms.
• Excellent communicator, both in writing and verbally. You can motivate a team, brief executives, and engage with prospects on the show floor with ease.
• Composed under pressure. Events can be unpredictable; you can think on your feet to solve problems.
• Willing to travel 30 to 50% during peak event seasons across North America, with potential for European travel as we expand.
