This is a fully remote position, open to applicants in California.
• Act as an independent consultant and representative for a prospective university client based in California, delivering unbiased oversight throughout the implementation phases.
• Create, implement, and oversee structured governance forums, such as Steering Committees, Change Control Boards, and established escalation pathways.
• Facilitate the successful rollout of integrated enterprise solutions that support administrative, learning, registration, event management, and volunteer-related functions, ensuring compliance with approved organizational requirements.
• Ensure ongoing alignment among business needs, solution design, technical development, testing, and production deployment.
• Maintain and supervise the Requirements Traceability Matrix from the approved requirements all the way through testing and deployment.
• Implement formal validation to guarantee that all essential requirements are fulfilled, tested, and confirmed prior to deployment.
• Manage the scope baseline and change control processes, which includes reviewing, approving, tracking, and documenting modifications to the approved requirements.
• Evaluate system integrator and product vendor deliverables for consistency with technical standards, quality expectations, contractual milestones, and approved requirements.
• Document and escalate any vendor delivery discrepancies concerning scope, schedule, or quality through the established governance channels.
• Monitor the project's health, which includes scope, schedule, risks, issues, dependencies, decisions, and corrective action plans.
• Facilitate the involvement of client leadership, product owners, IT personnel, subject matter experts, product vendors, end users, and system integrator resources.
• Proactively identify and escalate issues related to resource constraints, decision delays, risks, and dependencies that could impact project progress.
• Define, oversee, and validate the criteria for User Acceptance Testing entry and exit, defect identification and prioritization, and formal acceptance sign-offs.
• Lead the planning of cutover and deployment, including readiness criteria, governance-based deployment approvals, and controlled go-live coordination.
• Supervise post-go-live stabilization efforts, which encompass defect resolution timelines, system performance, user adoption, support transition, and stabilization success criteria.
• Confirm knowledge transfer and operational readiness to ensure client IT and business teams are equipped to take over internal system operations, support processes, and documentation.
• Generate clear, timely, and actionable project communications, status reports, decision-making materials, and escalation documentation.
• A minimum of five years’ experience in managing complex IT implementations, enterprise software-as-a-service, or systems integration projects.
• Experience in a project management, program management, project management office, or independent oversight capacity for large-scale system implementations.
• Proven experience managing projects that involve multiple vendors, one or more system integrators, product vendors, client leadership, business users, and technical teams.
• Strong grasp of project governance, change control, requirements management, requirements traceability, risk and issue management, dependency tracking, and executive-level reporting.
• Experience in planning, managing, or overseeing User Acceptance Testing, defect triage, deployment readiness, cutover planning, go-live, and post-go-live stabilization.
• Ability to identify project risks, delivery discrepancies, decision delays, and resource limitations, and to communicate recommended corrective measures in a clear and constructive manner.
• Demonstrated critical thinking, logical reasoning, problem-solving, facilitation, organizational, and self-management skills.
• Capability to build and maintain positive working relationships with diverse teams, including client leadership, Product Owners, IT personnel, Subject Matter Experts, vendors, and end users.
• Proficient in drafting client-facing reports, communications, meeting materials, escalation documentation, and decision support materials in a professional and constructive manner.
• Project Management Professional certification is preferred.
• Certified Scrum Master certification is required.
