This is a fully remote position, open to applicants in Canada.
• Identify and prioritize events. **Conduct research, assess, and recommend tradeshows, conferences, and industry gatherings that align with our Ideal Customer Profile (ICP) and revenue objectives. Maintain a dynamic 12-month event calendar.
• Negotiate and finalize contracts. **Cultivate relationships with event organizers, vendors, and venues. Secure sponsorships, booth space, speaking opportunities, and additional features to maximize budget efficiency.
• Plan and manage all aspects. **Oversee every detail, including booth design and shipping logistics, promotional materials, lead capture systems, badge scanners, audiovisual needs, catering, hotel arrangements, and travel logistics for the team.
• Serve as the on-site contact. **Attend all events in person. Set up and dismantle booths, troubleshoot issues on-site, and ensure our presentation is polished from beginning to end.
• Prepare the team. **Inform attending team members about objectives, key talking points, target accounts, and logistical details. Ensure everyone knows their roles, schedules, and responsibilities.
• Collaborate with sales to drive pipeline. **Work with the sales team to schedule pre-show meetings, host dinners, and customer events on-site, ensuring every lead is captured, qualified, and promptly followed up.
• Implement pre- and post-event campaigns. **Coordinate with marketing on email outreach, landing page creation, paid promotions, and social media efforts to boost booth traffic and meeting bookings before the event.
• Manage the budget. **Oversee event expenditures across the entire calendar. Monitor costs, provide accurate forecasts, identify risks early, and make informed trade-offs as priorities evolve.
• Establish KPIs and evaluate outcomes. **Define clear KPIs for each event (leads, meetings, pipeline, ROI) and create comprehensive post-event reports that analyze successes, areas for improvement, and future strategies.
• 1 to 4 years of experience in event marketing, field marketing, or event coordination, preferably in a B2B or technology environment.
• Proven experience in managing events from conception to execution, even on a smaller scale. You can provide examples of shows you organized and their outcomes.
• Experience overseeing an events budget. You understand how to forecast, monitor spending, and make trade-offs to enhance ROI.
• Proficient in defining KPIs and generating reports that link event activities to pipeline and revenue performance.
• **Passionate about AI and its applications to enhance efficiency. **You can demonstrate specific projects, tools, or workflows where you've utilized AI to streamline or improve your work as an events marketer (research, vendor outreach, post-event reporting, content creation, lead enrichment, etc.). This is essential, not optional.
• Basic familiarity with HubSpot on the CRM side; we will handle the rest.
• Strong project management skills. You effectively manage timelines, budgets, vendors, and numerous moving parts without oversight issues.
• Comfortable negotiating with vendors and event organizers to secure the best terms.
• Excellent communication skills, both written and verbal. You can motivate a team, brief executives, and engage prospects on the event floor with equal proficiency.
• Composed under pressure. Events may have unexpected challenges; you can think on your feet to solve problems.
• Willingness and ability to travel 30 to 50% during peak event seasons across North America, with possible travel to Europe as we expand.
