This is a fully remote position, open to applicants in Oregon.
• Quickly generate and dispatch precise quotes, incorporating pricing from manufacturers for non-stock items, and follow up on outstanding quotes.
• Input and process orders in P21, including OMNIA contract orders, ensuring accurate contract numbers, pricing, and shipping details.
• Verify agency registration in P21 for OMNIA pricing and manage registration when necessary.
• Implement contract pricing regulations, including freight and relevant state contract fees, and escalate pricing inquiries as needed.
• Monitor orders from purchase order to delivery by confirming with vendors, communicating shipping dates, and addressing backorders and delays.
• Manage returns, RMAs, sample requests, and warranty or service issues in collaboration with vendors and the Mallory service team.
• Respond to customer inquiries via phone, email, and Teams, directing technical or product-selection questions to the appropriate parties.
• Record customer interactions, cases, and quote modifications in Dynamics CRM.
• Recognize and forward sales opportunities to account managers.
• Assist a large volume of line items across various account managers while upholding accuracy.
• Work in conjunction with purchasing, accounts receivable, shipping, and service teams.
• Minimum of 1 year of customer service, order entry, or inside sales support experience, ideally in distribution.
• Exceptional attention to detail concerning numbers, part numbers, pricing, and customer data.
• Strong written and verbal communication skills, along with a sense of urgency regarding customer needs.
• Capability to handle a high volume of open quotes and orders without oversight.
• Willingness to quickly learn new systems, including ERP and CRM software.
• Ability to work autonomously as well as collaboratively within a team.
• Proficient in Microsoft Office.
• Familiarity with P21 or another distribution ERP system.
• Experience supporting government, public safety, or public sector clients.
• Knowledge of cooperative purchasing contracts (OMNIA Partners, Sourcewell, state contracts) or government purchase orders and RFQs.
• Background in safety, PPE, fire, law enforcement, or emergency response products.
• Experience sourcing non-stock items from manufacturers.
• Proficiency in Dynamics CRM.
