This is a fully remote position, open to applicants in California.
• Take full ownership of the planning and execution of Lytx's annual conference, which includes selecting and contracting the venue, managing the agenda and speakers, overseeing the budget, handling registration, coordinating sponsorships, and ensuring smooth on-site production.
• Oversee Lytx's participation in major industry tradeshows, focusing on booth design and logistics, staffing arrangements, lead capture, shipping, and vendor management.
• Organize and implement high-touch customer events, such as the Customer Advisory Board, executive briefings, and VIP experiences, collaborating closely with Customer Success and Sales leadership on guest lists, content, and desired outcomes.
• Identify and manage sponsorship opportunities for additional customer events to enhance Lytx's visibility and foster customer engagement beyond owned initiatives.
• Manage event budgets across all programs, tracking expenditures against forecasts, negotiating vendor contracts, and identifying cost-saving measures without sacrificing quality of experience.
• Collaborate with Sales, Product, Customer Success, and Executive stakeholders to ensure event objectives, content, and messaging align with broader business goals.
• Cultivate relationships with venues, production companies, caterers, decor, AV vendors, and travel partners; negotiate contracts and oversee RFP processes.
• Define and report on event KPIs (such as attendance, engagement, pipeline influence, and satisfaction) and provide post-event summaries with recommendations for future initiatives.
• Supply clear timelines, run-of-show documents, and staffing plans; lead on-site teams and resolve issues in real time to guarantee flawless execution.
• A minimum of 6 years of experience in corporate events, meeting planning, or field marketing, including responsibility for large-scale conferences (500+ attendees) and tradeshow programs.
• Demonstrated experience in managing executive-level or customer advisory initiatives.
• Strong skills in vendor negotiation and budget management, with experience handling six- and seven-figure event budgets.
• Exceptional project management abilities, capable of managing multiple concurrent events and competing deadlines effectively.
• Clear and confident communicator, proficient in partnering with and influencing senior stakeholders and executives.
• Proficient in using event management and registration platforms (e.g., Cvent, Splash, or similar) as well as standard marketing/business tools.
• Willingness and ability to travel approximately 30–40% of the time, including some evenings and weekends during events.
• Bachelor's degree in Marketing, Communications, Hospitality, or a related field, or equivalent experience.
