This is a fully remote position, open to applicants in Massachusetts.
• Assist several Operations Managers with up to 25 program itineraries spanning various product lines and program types.
• Organize and verify program logistics, including hotel bookings, field trips, transportation, meals, special requirements, and additional program staff.
• Oversee multiple timelines and deadlines while ensuring precision, organization, and prompt delivery.
• Facilitate negotiation and management of contracts and agreements within program and vendor budgets.
• Address intricate customer service inquiries and handle program-related questions and special requests.
• Evaluate enrollments and space allocations daily to enhance capacity within contractual timelines.
• Identify and resolve program challenges before and during execution, escalating complex issues when necessary.
• Aid in pre-program briefings for on-site program personnel.
• Review programs and reconcile financial details, as well as vendor, staff, and other expense invoices after program completion.
• Work collaboratively with Program Administration and Program Services teams to produce and distribute accurate materials and reports punctually.
• Cultivate a thorough understanding of program content and destinations for assigned regions.
• Participate in certain programs related to the role.
• Preferred Bachelor's Degree or equivalent experience.
• 2-3 years of relevant experience.
• Experience in a dynamic business environment.
• Capability to manage multiple or competing priorities and meet stringent deadlines.
• Strong relationship management abilities.
• Analytical skills paired with a keen attention to detail.
• Excellent verbal and written communication, interpersonal, and problem-solving capabilities.
• Ability to work effectively in a multifunctional team setting.
• Strong technical skills; comfortable operating in a complex environment.
• Proficient in managing and maintaining work across multiple systems.
• Moderate travel and occasional evening and weekend work are required.
• Required to participate in certain programs related to the position.
