This is a fully remote position, open to applicants in Arizona, +3 more states.
• Manage daily referrals received by the organization efficiently and promptly.
• Provide the Regional Director, Clinician, and Administrative teams with thorough intake data on the same day the intake is finalized.
• Act as a resource for staff concerning intake and triage processes.
• Assist scheduling and administrative teams in comprehending the treatment indicated or requested in referrals.
• Engage in the intake/triage orientation for new staff members.
• Address patient and non-patient emergencies in accordance with CSD policies and procedures.
• Gather, verify, and input pertinent client and referral information.
• Collect and input authorization details into the EMR system, assign CPT and ICD-9 codes, and follow up with funding sources.
• Examine assessments for clerical errors prior to submission to funding sources.
• Detect and report billing and documentation discrepancies.
• Respond to inquiries from clinicians, clients, and funding sources regarding authorizations, treatment/assessment status, and available services.
• Enter and monitor referral information in referral tracking systems.
• Oversee referral processes and ensure assessment completion.
• Track urgent intakes and communicate any challenges to the Regional Director or supervisor.
• Develop and adjust client-intake and treatment systems and processes by evaluating operating practices and liaising with funding sources.
• Provide scheduling and regional leadership with client timeline information.
• Execute additional administrative tasks as necessary.
• An Associate’s degree from an accredited college or university or the equivalent of two years of college coursework at an accredited institution.
• 3-5 years of experience in ABA intake is mandatory.
• Proficiency in Spanish is required.
• Familiarity with CentralReach is essential.
• Experience with CRM systems is necessary.
• Background in managing high-volume intake processes is required.
• Computer proficiency in word processing, database, spreadsheet, and Internet software applications.
• Excellent verbal and written communication skills with diverse populations.
• Strong editing capabilities.
• Ability to work autonomously and collaboratively within a team, demonstrate initiative, prioritize tasks effectively, and meet deadlines while adapting to changing priorities.
• Good judgment and decision-making abilities.
• Capacity to maintain confidentiality and discretion.
• Ability to interpret and implement policies and procedures.
• Familiarity with the ABA field is preferred.
