This is a fully remote position, open to applicants in Philippines.
• Support the management of conveyancing files from the initial instruction stage to post-settlement completion.
• Maintain consistent communication with clients regarding the progress of transactions, outstanding requirements, and anticipated timelines.
• Gather client documentation and instructions for review by supervising practitioners.
• Ensure that file records, correspondence, and supporting documentation are meticulously maintained throughout the process.
• Assist in the preparation of contracts for sale and related conveyancing documentation.
• Review contracts and supporting documents for thoroughness and accuracy before they are submitted for solicitor or licensed conveyancer review.
• Draft standard correspondence, settlement documentation, and transfer documents.
• Aid in the preparation of special conditions and amendments under the supervision of qualified practitioners.
• Identify potential issues related to title, zoning, easements, covenants, or restrictions and escalate them as necessary.
• Coordinate disclosure documents and statutory certificates.
• Conduct and oversee property searches including title, plan, council, water authority, land tax, bankruptcy, ASIC, and planning and zoning searches.
• Analyze search results and highlight matters that require escalation to supervising practitioners.
• Assist in due diligence processes, file preparation, and coordination of outstanding documentation.
• Support residential sales and purchases, transfers, refinancing, off-the-plan transactions, subdivisions, leasing matters, and related party transfers.
• Monitor key contractual and settlement dates across all active files.
• Prepare settlement figures and rate adjustments for review by supervising practitioners.
• Communicate with lenders regarding loan and discharge documentation.
• Coordinate the execution of transfer and mortgage documents, and prepare settlement packs.
• Assist in settlements through electronic lodgement platforms such as PEXA and Sympli.
• Prepare electronic workspace documentation and settlement schedules.
• Upload and manage settlement documents within electronic platforms.
• Coordinate with financial institutions and external parties concerning settlement requirements.
• Support Verification of Identity (VOI) and compliance processes.
• Escalate settlement risks, discrepancies, or financial concerns to supervising practitioners.
• Assist with compliance requirements pertaining to NSW conveyancing procedures, duties, and land tax, as well as Electronic Conveyancing National Law, VOI requirements, client identification, and AML/CTF obligations where applicable.
• Maintain precise file and compliance records while adhering to internal risk management protocols.
• Promptly escalate legal or settlement risks to supervising Australian practitioners.
• Coordinate settlement preparation and administration tasks.
• Assist in the calculation of settlement adjustments, including council rates, water rates, and land tax.
• Arrange for stamping, lodgement, and registration support as required.
• Confirm the registration of dealings post-settlement and finalize and archive files in accordance with internal and regulatory requirements.
• A minimum of 2 years of experience in Australian conveyancing is required, with a strong preference for previous experience supporting NSW residential conveyancing transactions.
• A solid understanding of Australian conveyancing processes along with a working knowledge of NSW conveyancing practices and procedures.
• Proficiency in PEXA, with hands-on experience being essential.
• Familiarity with LEAP or similar conveyancing practice management software.
• A qualification in Law, Legal Studies, Paralegal Studies, or a related field.
• Excellent written and verbal communication skills in English, with a professional and client-centered approach.
• Strong attention to detail and organizational skills, capable of managing multiple conveyancing files at the same time.
