This is a fully remote position, open to applicants in Wisconsin.
• Oversee a portfolio comprising more than 110 service agreements with an annual expenditure exceeding $40 million.
• Act as the primary liaison for vendor contracts, facilitating communication among vendors, HTM leadership, and clinical leaders.
• Identify opportunities for standardization, evaluate services, handle escalations, and provide actionable recommendations.
• Initiate negotiations, assess cost-to-value, and manage extensions and terminations of supplier and service agreements.
• Collaborate with HTM management to improve contract processing and implement contractual amendments.
• Track contract change dates and manage amendments, rate increases, fee schedules, and reimbursement methodologies.
• Coordinate approvals for contract justifications, legal CRAF, and technology reviews.
• Consult with the Legal department and initiate evaluations by relevant teams such as IT and Data Security.
• Create and disseminate communications, reference materials, product and rate summaries, prior authorization requirements, and other contract-related documents.
• Update HTM leaders on vendor and contract statuses.
• Lead special projects or reviews concerning system-level agreements as necessary.
• Activate GPO contract pricing and ensure accurate pricing in the HTM medical equipment database (CMMS).
• Audit vendor compliance with support agreement terms and related cost metrics.
• Maintain the HTM contract database, ensuring data integrity for contracts and covered assets.
• Generate standard and ad-hoc reports that cover payment issues, amortization, accruals, budgets, invoice payments, savings, ROI, and compliance.
• Review, audit, and process invoices according to contracts and addendums, ensuring accurate general-ledger and department coding.
• Analyze data trends and create Excel spreadsheets to identify payment anomalies.
• Resolve invoice pricing discrepancies with accounts payable, the HTM Business Office, and senior leadership.
• Process credit memos and update contracts, general ledger records, purchase requests/orders, budgets, and databases.
• Present savings identified through audits of contract language and invoice discrepancies.
• Bachelor’s Degree in Health Care Administration, Business, or a related field.
• At least 5 years of experience in contract and/or vendor management, data analysis and reporting, and capital technology support within a healthcare technology management context.
• No licensure, registration, or certification is required.
• Strong human relations and analytical skills.
• Self-motivated with the ability to schedule, organize, and manage tasks independently with minimal supervision.
• Capability to operate independently within broad guidelines while instructing, guiding, assigning, advising, and leading team members.
• Proficient in managing time and resources in a dynamic, complex, highly visible environment with multiple dependencies and competing interests.
• Excellent project management and multitasking abilities.
• Advanced knowledge of contract management processes, procedures, terms, and conditions.
• Skill in managing a large portfolio of strategic contracts and categories.
• Ability to translate highly technical analyses into non-technical terms for management reporting.
• Competence in handling complex issues, driving incremental contract savings, and cultivating strategic relationships.
• Familiarity with basic accounting concepts.
• Ability to communicate and collaborate effectively with HTM Leadership, Clinical Leadership, and vendor contract management/executives.
• Advanced written and verbal communication skills.
• Strong organizational abilities.
• Willingness to travel as needed.
