This is a fully remote position, open to applicants in Poland.
β’ Enter new hires, terminations, transfers, promotions, and compensation changes into Rippling according to the provided checklists.
β’ Update employee information, including contact details, emergency contacts, work locations, manager assignments, job codes, and cost centers.
β’ Process document uploads to employee files and maintain digital records in accordance with established standards.
β’ Conduct scheduled data audits using the provided templates and highlight discrepancies for review.
β’ Generate standard reports from Rippling upon request (headcount, turnover, enrollment status, etc.).
β’ Monitor Rippling integration alerts and report sync errors to the relevant contacts.
β’ Respond to routine inquiries from US employees regarding benefits using provided FAQs and knowledge baseβcovering plan eligibility, ID cards, enrollment confirmations, beneficiary updates, and dependent changes.
β’ Process qualifying life events and benefits transactions in Rippling and on carrier portals following specified procedures.
β’ Escalate complex inquiries, advisory questions, or issues beyond provided guidelines to the Operating Partner, People & Culture, or designated broker contact.
β’ Assist with annual open enrollment cycles through data entry, employee Q&A triage from a script, and post-enrollment audit checks.
β’ Manage routine communications with vendors, brokers, carriers, 401(k) recordkeepers, and COBRA administrators regarding standard transactions.
β’ Navigate a shared ticket queue or inbox in accordance with documented SLAs.
β’ Record all transactions and inquiries in the tracking system, ensuring status updates are current.
β’ Provide a weekly summary of volume and status to the Operating Partner, People & Culture.
β’ Process I-9 and E-Verify entries in Rippling according to the provided checklists.
β’ Retrieve data and reports as required for routine audits and compliance filings (ACA, EEO-1, 401(k), workers' compensation).
β’ Identify missing or expired documentation, incomplete onboarding, or other data gaps for resolution.
β’ 1β3 years of experience in HR administration, HR coordination, payroll administration, or similar back-office roles.
β’ Direct hands-on experience with Rippling or strong working knowledge of a comparable HRIS (Deel, BambooHR, Workday, ADP) with a proven ability to quickly learn Rippling.
β’ Proficiency in English, both written and spoken.
β’ Comfortable with written correspondence with US-based employees and vendors.
β’ Ability to maintain consistent availability during US Eastern Time business hours (approximately 14:00β18:00 CET / CEST).
β’ Strong attention to detail and accuracy in data entry tasks.
β’ Comfortable working through a structured queue with established procedures.
β’ Discretion in handling confidential employee information.
β’ Registered (or capable of registering) as a sole proprietor in Poland to function under a B2B contractor arrangement.
