Commercial Assistant, Junior Quantity Surveyor

This is a fully remote position, open to applicants in United Kingdom.

📋 Description

• Assist in the preparation and upkeep of contract documentation, reports, and trackers.

• Support the creation of monthly commercial reports, encompassing cost/value reconciliations, forecasts, and KPIs.

• Maintain records of contract modifications, change controls, and commercial correspondence.

• Oversee applications for payment and assist Commercial Managers with processing tasks.

• Generate and manage purchase orders in accordance with procurement policies.

• Communicate with suppliers and subcontractors to acquire quotations and ensure prompt delivery.

• Aid in tendering activities, including document preparation, bid evaluation coordination, and supplier onboarding.

• Maintain procurement logs and documentation that is ready for audits.

• Assist with invoice reconciliation and address payment inquiries.

• Ensure the integrity of commercial databases and maintain accurate data.

• Serve as a point of contact for internal teams and external suppliers regarding commercial inquiries.

• Prepare meeting agendas, take minutes, and follow up on action items for Commercial Managers.


⛳️ Requirements

• Strong organizational skills and meticulous attention to detail.

• Proficiency in Microsoft Office Suite, particularly Excel and Word.

• Exceptional communication and interpersonal skills.

• Capability to manage multiple priorities while adhering to deadlines.

• NVQ Level 3 or equivalent in Business Administration or Commercial Practice.

• Familiarity with PFI or other FM-related contract frameworks.

• Prior experience in a commercial or procurement administrative position, preferably in FM or construction.

• Ability to support procurement activities, manage contracts, assist with tenders, and maintain supplier relationships.

• Competence in ensuring activities and documents comply with legal and organizational standards, as well as supporting audits.

• Skill in preparing and controlling documents while maintaining accurate records.

• Ability to maintain and analyze data and generate reports.

• Monday to Friday, 37.5 hours per week.
