This is a fully remote position, open to applicants in Ohio.
• Organize various national clinical recruiting events.
• Keep event lists updated and generate event reports for recruiters and recruiting leadership.
• Oversee company event registration, representatives, shipments, attendee RSVPs, sponsorship opportunities, event materials, and supplies.
• Process event leads within the applicant tracking system.
• Handle event-related expense reporting and reconciliation of corporate credit card transactions.
• Manage inventory of supplies and suggest replenishment when necessary.
• Identify and escalate any roadblocks, delays, or concerns.
• Administer candidate and new-hire payment submissions and tracking related to recruiting.
• Collaborate cross-functionally with Recruiters, Credentialing, Accounts Payable, candidates, and external recipients.
• Create and distribute detailed agendas for on-site interviews.
• Capture incoming candidate leads and assign them to the appropriate recruiters.
• Participate in projects and provide recommendations for process improvements.
• Assist in the configuration and implementation of new tools and systems.
• Support fellow Recruiting Coordinators.
• Ensure accurate record-keeping in ATS, HRIS, and enterprise systems.
• Arrange candidate travel for on-site interviews as required.
• Perform additional duties as assigned.
• An Associate’s or Bachelor’s degree, or equivalent experience, is mandatory.
• A minimum of 3–5+ years of experience in Administrative support, Human Resources, Recruiting, or related fields is essential.
• Proficient in Microsoft Office suite: Word, Excel, PowerPoint, Outlook, etc.
• Strong familiarity with Zoom videoconferencing and instant messaging tools.
• Excellent time management and organizational abilities.
• Capacity to multitask and handle various projects and timelines.
• Self-motivated individual who can identify and navigate potential roadblocks and challenges.
• Strong professional judgment and reliability.
• Experience in a cross-functional role and/or a fast-paced work environment.
• Ability to manage corporate credit card usage, reconciliation, and financial processes.
• Commitment to maintaining a high level of customer experience and satisfaction.
• Skill to interact and adapt to both internal and external stakeholders effectively.
• Comprehensive knowledge of Microsoft Windows-based software.
• Exceptional attention to detail with a focus on producing accurate work.
• Ability to prioritize and manage competing tasks and responsibilities.
• Willingness to work overtime and exert extra effort when necessary.
• Flexibility to meet departmental needs, including early starts, late finishes, or postponed breaks.
• Proficient in oral and written communication with employees, candidates, leaders, and external contacts.
• Ability to maintain confidentiality.
• Skill in identifying, researching, and resolving issues and discrepancies.
• Capacity to enhance work processes through sustainable methods.
• Ability to remain patient and composed in challenging situations.
• Skill in identifying emerging issues and effectively communicating them to management.
• Capability to sit for extended periods and occasionally walk, stand, bend, stoop, and lift at least 30 pounds.
