This is a fully remote position, open to applicants in United States.
• Lead, mentor, and guide Clinical Coordinators by establishing clear priorities, effective delegation, accountability, and thorough follow-through.
• Conduct regular one-on-one meetings, performance evaluations, coaching sessions, and ongoing training refreshers.
• Oversee team scheduling, balance workloads, and ensure adequate coverage across various markets.
• Assist in the onboarding and competency development of new team members.
• Monitor immediate and upcoming provider schedules to pinpoint open capacity, underfilled provider days, and potential scheduling risks.
• Ensure that accepted treatments and unscheduled new patient backlogs are actively managed.
• Identify and escalate scheduling obstacles, including medical clearances, insurance verification, pre-medication requirements, facility documentation, and lab case issues.
• Track Clinical Days at Goal and any disruptions in scheduling.
• Analyze scheduling challenges, backlog patterns, cancellations, and schedule health issues to determine root causes.
• Develop preventive measures and implement improvements in workflows or standard operating procedures (SOPs).
• Support system optimization, automation projects, and process enhancements in CareStack and Healier.
• Collaborate across departments to address scheduling challenges and maintain consistent patient flow.
• Act as an escalation point for intricate scheduling requirements or concerns related to facilities and providers.
• Monitor and report on team performance and operational health metrics.
• Provide weekly insights, actions taken, next steps, and performance updates to leadership.
• Ensure adherence to accurate documentation standards in CareStack and Healier.
• 5+ years of experience in dental, medical, or clinical scheduling/coordination.
• A minimum of 2 years in a leadership role.
• Proficiency with CareStack or similar Electronic Medical Record (EMR) platforms is required.
• Experience with Google Suite is essential.
• Strong understanding of medical and dental workflows and provider scheduling.
• Experience in coordinating and scheduling across multiple facilities.
• Familiarity with pre-medication and medical clearance procedures.
• Knowledge of insurance verification processes and lab case coordination.
• Proven success in managing remote teams, delegating responsibilities, coaching performance, holding employees accountable, and implementing process enhancements.
• Exceptional communication and relationship-building skills.
• Strong organizational, delegation, and prioritization skills.
• Ability to independently evaluate problems, make decisions, and ensure follow-through.
• Capacity to remain calm and solution-oriented in a fast-paced environment.
• Reliable internet access.
