This is a fully remote position, open to applicants in United States.
• Facilitate the complete onboarding process for newly acquired 401(k) plans onto Ubiquity’s recordkeeping platform.
• Carry out plan setup responsibilities, which include preparing plan documents, coordinating payroll integration, and managing a dynamic pipeline of new plan cases from contract signing to go-live.
• Act as the main point of contact for plan sponsors, financial advisors, and Third Party Administrators during the setup process, ensuring proactive communication, continuous platform education, and compliance-aware guidance at every step.
• Oversee an assigned pipeline of new 401(k) plan cases from the initial contract to the go-live phase on Ubiquity’s platform.
• Prepare plan documents for new clients based on their chosen plan design options.
• Set up trust accounts and verify that investment elections are accurately configured.
• Directly coordinate payroll setup requirements with plan sponsors.
• Assist plan sponsors in integrating their payroll systems with Ubiquity’s platform.
• Monitor the initial payroll submissions after go-live to ensure contributions are processed correctly.
• Document payroll setup configurations and any integration issues encountered for each case.
• Conduct kickoff calls for plan setup to set expectations and review the onboarding timeline.
• Provide ongoing platform education throughout the onboarding process.
• Follow up in a timely and organized manner to gather necessary documentation.
• Previous experience in the 401(k) or retirement plan industry is preferred; familiarity with new plan setup, plan document preparation, or plan implementation is a plus.
• Experience in a fintech, SaaS-based, or technology-driven environment is advantageous; familiarity with API-based integrations, digital onboarding workflows, or cloud-based recordkeeping environments is preferred.
• Knowledge of plan document provisions, plan design options (such as Safe Harbor, traditional 401(k), Profit Sharing), ERISA compliance requirements, and IRS contribution limits is preferred.
• Understanding of payroll integration processes for 401(k) plans, including contribution file formats and census data management, is a plus.
• Experience conducting client-facing onboarding calls or setup consultations with plan sponsors and financial advisors is preferred.
• Proficiency in Salesforce or similar CRM tools is preferred; experience with workflow or case management platforms (e.g., Asana) is a plus.
• Skilled in Microsoft Office (Outlook, Excel, Word); experience with plan document drafting tools or recordkeeping platforms is a plus.
• Familiarity with compliance testing software and 5500 tools (e.g., FT Williams, ASC) is a plus.
• QKA designation or active pursuit of ASPPA or NIPA credentials is a plus.
• Strong attention to detail with the ability to manage a high-volume case pipeline while ensuring accuracy and meeting service level agreements.
• Excellent written and verbal communication skills, maintaining a professional, client-focused tone.
• Ability to work independently as well as collaboratively; comfortable escalating issues to the New Plan Team Lead and adhering to established escalation protocols.
