This is a fully remote position, open to applicants in South Africa.
• Take charge of the project management ecosystem (Trello/Asana/Notion).
• Supervise onboarding, scheduling, and client-matching processes for over 60 self-employed coaches.
• Handle multiple executive and departmental inboxes, prioritizing and addressing complex inquiries.
• Safeguard the organization’s five-star rating by managing escalations with empathy and efficiency.
• Proactively implement AI and automation tools (ChatGPT, Claude, Zapier, Make) to enhance team productivity.
• Minimum of 4 years of experience in operations within a service-oriented, tech-enabled business (SaaS, marketplace, or agency).
• Demonstrated success in managing freelancers, contractors, or remote teams.
• Outstanding written English skills—clear, professional, and warm.
• Highly alert and composed under pressure; capable of resolving issues effectively.
• Strong attention to detail, ability to multitask, and thrive in a fast-paced environment.
• Daily usage of AI tools (Claude, ChatGPT) is required.
• Expert knowledge of Trello (or similar tools like ClickUp/Notion).
• Hands-on experience with Zapier, Make, and Large Language Models (LLMs).
• Proficiency in Gmail/Google Workspace and CRM management.
• Capability to swiftly learn and optimize a custom tech platform.
• High-trust environment with direct access to the Founder.
• Contribute to a mission-driven business focused on women’s wellness during peri-menopause, menopause, and beyond.
• Fully remote position with opportunities for increased hours as the business expands.
