This is a fully remote position, open to applicants in United States.
• Prepare and route contracts, subcontracts, statements of work, and amendments for review and signature.
• Maintain the contracts repository by keeping track of key dates, renewals, and deliverable deadlines.
• Monitor state registrations, certifications, insurance renewals, and vendor onboarding requirements.
• Anticipate upcoming compliance and renewal deadlines before they become urgent.
• Assemble proposals and RFP submissions, including necessary forms, attachments, and compliance checklists.
• Manage hiring-cycle logistics, such as interview scheduling, candidate communications, applicant records, and onboarding and offboarding processes.
• Coordinate logistics for meetings, cohort sessions, team retreats, and client engagements, including venue research, room blocks, catering, materials, and on-site support.
• Maintain project trackers and internal dashboards.
• Follow through on cross-team action items independently.
• Draft and format presentations, memos, spreadsheets, and other materials to a client-ready standard.
• Utilize AI tools to enhance efficiency and fortify recurring operational processes.
• Engage in special projects alongside leadership as organizational priorities evolve.
• Bachelor's degree and/or 3 to 5 years of experience in operations, business administration, or project coordination.
• Proven ability to deliver work in a completed state.
• Exceptional organizational skills with a keen eye for detail, especially in documents, dates, and numbers.
• Proactive mindset and initiative to take action without waiting for direction.
• Personal accountability for achieving results in a fast-paced environment.
• Capability to prioritize and manage time effectively amidst competing demands and meet critical deadlines.
• Strong written communication skills with the ability to produce polished first drafts.
• Ability to manage confidential personnel, client, and organizational information with discretion.
• Regular utilization of AI tools, with sound judgment regarding the need for verification of outputs.
• Proficiency in PowerPoint and Excel.
• Experience with the Google Suite.
• Preferred experience in contract administration, compliance tracking, or vendor coordination.
• Familiarity with the K-12 education sector is preferred.
