Billing and Accounts Receivable Assistant

This is a fully remote position, open to applicants in Honduras, +6 more countries.

📋 Description

• Produce and evaluate reports to ensure billing accuracy and enhance operational efficiency.

• Organize, maintain, and update financial documentation and related records.

• Manage email correspondence via Outlook on behalf of internal team members as necessary.

• Compare invoiced amounts with collected revenue and assist in data analysis projects.

• Monitor work in progress, including tracked time that has yet to be billed.

• Collaborate with colleagues to guarantee timely completion of billing and administrative duties.

• Oversee accounts receivable and identify any outstanding balances from clients.

• Assist with financial and administrative projects focused on billing analysis and reporting.

• Help in the preparation and drafting of client invoices.

• Maintain and update Excel spreadsheets that contain billing and time entry data.

• Analyze billing reports to identify billable hours available for client invoicing.

• Review weekly time entry reports for attorneys, paralegals, and legal assistants to ensure adherence to company billing and time tracking standards.


⛳️ Requirements

• At least 1 year of experience as a billing assistant.

• Preferred experience in reviewing, analyzing, and maintaining billing and financial records.

• Strong written communication skills in English are required.

• Experience dealing with billing data, invoices, accounts receivable, or financial reporting is preferred.

• Capability to work accurately with extensive information while maintaining confidentiality.

• Comfortable in collaborating with internal teams and supporting administrative projects.

• Exceptional attention to detail.

• Advanced organizational and time management skills.

• Proficient in Microsoft Excel and data management.

• Skilled in Microsoft Outlook and email communication.

• Ability to analyze billing and financial data.

• Strong recordkeeping and documentation abilities.

• Experience with PDF reports and Adobe tools.

• Ability to manage multiple priorities and deadlines effectively.

• Professional judgment and discretion when handling sensitive information.

• Collaborative mindset, capable of working effectively within an established team.

• Strong problem-solving and analytical abilities.

• Self-motivated with a reliable work ethic.

• Positive attitude and strong alignment with team values.

• Proficient in Microsoft Excel.

• Proficient in Microsoft Outlook.

• Knowledgeable in Microsoft Office Suite.

• Familiar with Adobe Acrobat/PDF Tools.

• Experience with Clio, Slack, OneDrive, and Wall Pay.

• Availability to work Monday to Friday from 8:30 AM to 5:30 PM CST/CDT.
