This is a fully remote position, open to applicants in Illinois.
• Generate and distribute prebills/proformas while assisting with month-end processes.
• Draft communications and execute time and expense transfers and modifications.
• Produce billing reports and ensure timely billing management.
• Allocate unapplied funds and carry out write-offs and cancellations.
• Post and send invoices to clients.
• Prepare attorney/client invoices, which encompass fixed fee, batch, retainer, and contingency invoices.
• Verify the accuracy of billing work products and identify the suitable billing formats.
• Develop spreadsheets and additional billing documents.
• Oversee client billing requirements, guidelines, and fee arrangements.
• Prepare invoices for electronic processing and manage client/matter modifications.
• Conduct time-entry narrative edits and perform proofreading tasks.
• Assist clients with billing inquiries, address issues, and follow up with operational departments.
• Review and amend time entries to ensure compliance with client guidelines.
• Create and maintain spreadsheets to track various functions.
• Complete special projects and fulfill client-specific billing needs while adhering to company policies.
• Collaborate directly with partners, secretaries, and clients.
• An Associate Degree or higher is preferred, particularly with a focus on Business, Accounting, or Finance.
• Relevant experience may be accepted in place of formal education based on employment history.
• A minimum of two years of billing experience in a law firm or similar professional setting is required.
• Experience with client Document Management Systems (DMS) is essential.
• Proficient in creating spreadsheets, manipulating data, and producing reports.
• Detail-oriented with strong organizational and time management skills.
• Capable of multitasking and meeting tight deadlines in a dynamic environment.
• Effective team player who can also take ownership of individual tasks.
• Exceptional verbal and written communication skills, including the ability to present findings to senior management.
• Able to work efficiently in cross-functional settings and engage with senior management, vendors, and client staff.
• Must handle sensitive matters with professionalism and confidentiality.
• Advanced proficiency in Microsoft Office products, particularly Excel.
• Experience with Aderant is highly preferred.
• Strong proficiency with a 10-key calculator is highly preferred.
• Work schedule is Monday to Friday, during the 1st shift.
