This is a fully remote position, open to applicants in Ecuador, +5 more countries.
• Act as the main contact for patients through phone, text, email, and patient portal in both English and Spanish.
• Organize new patient consultations, follow-up visits, and aesthetic treatments.
• Verify, reschedule, and oversee appointments using Fresha and One Touch.
• Provide outstanding customer service characterized by professionalism, warmth, empathy, and confidence.
• Assist both new and returning patients throughout the booking and intake process.
• Address general inquiries regarding aesthetic treatments, pricing, pre-care, post-care instructions, and appointment expectations within your scope.
• Manage patient intake forms, medical histories, consent forms, and documentation within the EMR system.
• Arrange telehealth appointments via the Healthy Platform and ensure patients are ready for virtual visits.
• Respond to patient calls, texts, emails, and portal messages promptly and professionally.
• Keep precise patient records across all systems.
• Follow up with patients about upcoming appointments, post-treatment check-ins, and rebooking options.
• Provide administrative support to providers and clinical staff.
• Escalate clinical questions or concerns to the appropriate provider while ensuring HIPAA compliance.
• At least **2 years of experience** as a Medical Receptionist, Medical Administrative Assistant, Patient Care Coordinator, or a comparable healthcare support position.
• Prior experience in a **U.S.-based aesthetic practice, medical spa, dermatology office, plastic surgery practice, or healthcare clinic.**
• **Fluent in both English and Spanish** (both spoken and written).
• Excellent spoken English with clear pronunciation and a professional demeanor on the phone.
• Strong skills in customer service and patient communication.
• Knowledge of aesthetic treatments, including **Botox, dermal fillers, laser procedures, microneedling, chemical peels, and skincare services.**
• Experience handling high volumes of inbound and outbound patient communications.
• Familiarity with EMR systems and medical scheduling software.
• Understanding of **Fresha, One Touch, Healthy Platform**, or the capability to quickly learn new systems.
• Strong organizational, multitasking, and time management abilities.
• Capability to work autonomously in a remote setting.
• Access to reliable high-speed internet and a quiet, HIPAA-compliant home office.
• Keen attention to detail and a strong commitment to providing an exceptional patient experience.
• Please note that this is a full-time contractor position (40 hours per week) with a negotiable pay rate based on skill set and experience. The working hours are Monday through Friday, from 9 AM to 5 PM EST.
