This is a fully remote position, open to applicants in Canada.
• Provide comprehensive administrative support across all facets of the Patient Support Program.
• Process safety data, fulfillments/reviews, communications, field staff assistance, reports, data maintenance, meetings, filing-system upkeep, and general administrative tasks.
• Ensure thorough and high-quality data entry into database systems.
• Manage inbound calls, faxes, and email communications promptly.
• Process relevant program information received through various service-delivery contact points.
• Oversee email, phone, and fax correspondence.
• Handle incoming and outgoing mail efficiently.
• Prepare and distribute program letters and materials.
• Collaborate with the team on administrative responsibilities.
• Order office supplies and manage inventory.
• Report Adverse Events/Severe Adverse Events in accordance with approved SOPs.
• Complete timesheets, expenses, mileage, and CRM report validation within established timelines and standards.
• Review program documentation for accuracy and consistency to ensure data integrity.
• Perform additional tasks as assigned by the manager.
• Completion of Grade 12 education along with 2 years of community college, secretarial training, and/or equivalent relevant work experience in office administration services.
• A minimum of 2 years of pertinent office administration experience is required as an equivalent pathway.
• Bilingual proficiency in English and French is mandatory.
• Experience with Patient Support Programs is considered an asset.
• Exceptional verbal and written communication, listening, and customer service abilities.
• Accurate data entry skills for both paper and electronic formats.
• Capacity to learn quickly, adapt, and multitask in a dynamic, fast-paced environment.
• High level of proficiency with information technology, computers, software, Microsoft Office applications, phone systems, and databases.
• Proficient typing skills and the ability to effectively use computer-based programs.
• Strong organizational skills with the ability to manage shifting priorities.
• Capability to work independently with minimal supervision.
• Maintain confidentiality when handling patient data and information.
• Ability to collaborate effectively within a team environment.
• Required to have received doses of a COVID-19 vaccine approved by Health Canada, with proof of full vaccination prior to the start date.
