Bilingual Intake Coordinator

This is a fully remote position, open to applicants in United States.

📋 Description

• Act as the main point of contact for families reaching out to inquire about ABA therapy or diagnostic services.

• Exhibit empathy, professionalism, and a solutions-oriented mindset in every interaction.

• Provide clear explanations about the intake process, service offerings, documentation requirements, and anticipated timelines.

• Conduct follow-up outreach to families regarding missing documents, status updates, and the next steps.

• Execute initial intake screenings to determine service needs and collect vital information about the family and child.

• Assess intake forms and documents for completeness and accuracy.

• Refer complex or urgent matters to the Intake Supervisor as necessary.

• Keep precise and timely records in the CRM and EMR systems.

• Adhere to established workflows, scripts, and call handling protocols.

• Achieve or surpass KPIs related to call quality, documentation accuracy, follow-up timeliness, and service-level expectations.

• Collaborate with Clinical Care Coordinators, Insurance, and Clinical teams to facilitate a seamless enrollment experience.

• Relay any trends, obstacles, or recurring inquiries to leadership to aid in ongoing improvement initiatives.

⛳️ Requirements

• High school diploma or equivalent; an associate or bachelor's degree is preferred.

• 1-2 years of experience in customer service, call centers, healthcare access, or a related field.

• Excellent communication skills and the ability to de-escalate or handle sensitive conversations effectively.

• Proficiency in navigating multiple systems and entering data accurately.

• Capability to adhere to structured workflows, scripts, and compliance standards.

• Experience in behavioral health, ABA therapy, autism services, or healthcare is preferred.

• Familiarity with CRM, EMR, or call center platforms is an advantage.

• Bilingual in Spanish is required.
