Bilingual Administrative Assistant – Fixed Term, 18 month contract

This is a fully remote position, open to applicants in Canada.

📋 Description

• Delivering comprehensive administrative support across all facets of the Patient Support Program, including the processing of safety data, fulfillment reviews, internal and external communications, assistance for field staff, and report generation (daily, weekly, monthly, etc.), alongside data cleanup, meeting coordination, management of the filing system, and general office duties.

• Guaranteeing precise and high-quality data entry within our database systems.

• Managing inbound faxes and email communications efficiently and in a timely manner.

• Performing additional ad-hoc administrative tasks as assigned.

• Conducting data entry tasks for relevant information received at various points of contact during the Program’s service delivery.

• Engaging in and overseeing email, telephone, and fax correspondence.

• Managing incoming and outgoing mail efficiently.

• Preparing and dispatching Program letters and materials, while collaborating with the team to fulfill a range of administrative responsibilities.

• Ordering office supplies and overseeing inventory management.

• Reporting Adverse Events/Severe Adverse Events (AE/SAEs) in accordance with approved Standard Operating Procedures (SOPs).

• Completing all necessary reports (time sheets, expenses, mileage, validating CRM reports, etc.) within specified timelines and standards.

• Ensuring the accuracy of program data by reviewing documentation for completeness and consistency.

• Performing additional tasks as directed by the manager.


⛳️ Requirements

• Completion of Grade 12 education, coupled with 2 years of community college, secretarial training, or equivalent work experience in office administration.

• Bilingual proficiency in English and French is essential.

• Experience in Patient Support Programs is advantageous.

• Exceptional verbal and written communication, listening, and customer service abilities.

• Skillful in accurately entering information into both paper and electronic formats.

• Capability to learn swiftly, adapt, and manage multiple tasks in a dynamic and fast-paced environment.

• High proficiency with Information Technology, including Microsoft Office applications, phone systems, and databases.

• Strong typing abilities and proficiency in utilizing various computer-based applications.

• Excellent organizational skills, capable of managing shifting priorities effectively.

• Self-motivated individual who can work independently with minimal oversight.
