• Manage health and retirement programs, which includes processing eligibility, handling payroll deductions, transmitting vendor data, and addressing employee inquiries.
• Conduct regular audits of eligibility files, payroll deductions, and vendor databases to ensure they align with internal HCM systems.
• Oversee file transmissions and resolve discrepancies in interfaces to ensure accurate benefit enrollment and funding.
• Identify and escalate data trends or inconsistencies to senior team members to mitigate potential risks.
• Assist in absence management by collaborating with third-party administrators to ensure accurate leave transactions.
• Support tracking, reporting, and compliance documentation to ensure compliance with federal and state regulations.
• Prepare compliance documentation and assist with government filings, audits, and reports.
• Generate both standard and ad hoc reports from HCM and vendor systems to aid operational and compliance reviews.
• Assist with annual enrollment activities, including system testing, data validation, employee communications, and post-enrollment audits.
• Participate in project meetings and testing cycles for vendor implementations or required plan updates.
• Suggest improvements to current procedures and assist in updating SOPs to enhance accuracy and efficiency.
• Engage in process refinement initiatives that enhance employee experience and operational effectiveness.
• Organize new hire orientation to ensure a smooth and welcoming experience.
• Oversee the complete new hire onboarding process, which includes paperwork, system setup, and benefits enrollment.
• Collaborate with managers to ensure preparedness for Day 1 and beyond.
• Address general HR-related inquiries and escalate complex issues to the HRBP as necessary.
• Assist with HR projects, process enhancements, and documentation as the Family Office evolves.
• Accept additional responsibilities in line with skill development and business needs.
• 2–5 years of experience in HR, preferably in HR operations, benefits, or generalist roles.
• Practical experience with benefits administration and carrier file feeds.
• Knowledge of payroll processes; experience with ADP or similar systems is preferred.
• A builder mindset: self-motivated and self-directed, with a focus on process improvement.
• High level of accuracy and attention to detail, particularly regarding sensitive financial and personal data.
• Strong communication skills and comfort working in a remote, fast-paced environment.
• Proven ability to manage confidential information with the utmost discretion.
